Job description

SUMMARY:

The Gift Processing & Database Specialistis responsible fortheaccurateandtimelyprocessing of charitable gifts in Blackbaud Raiser's Edge NXT, as well as full database oversight. This position ensures the integrity of donor data,maintainshigh standardsfor gift acknowledgment, and provides reports and analyses that support fundraising strategy and decision-making. The ideal candidate is an experienced Raiser's Edge NXT user who is detail-oriented, highly organized, and committed to exceptional donor stewardship.

DUTIES & RESPONSIBILITIES:

1. Gift Processing:

  • Process all charitable contributions accurately and within established service standards (typically within 24-48 hoursof receipt).
  • Enter gifts from multiple sources, including checks, online donations, donor-advised funds, stock gifts, ACH, matching gifts, and other payment methods.
  • Ensure all gifts are coded correctly by campaign, fund, appeal, package, and constituentrecord.
  • Coordinate with Finance to reconcile gift batches and deposits.
  • Maintain complete documentation of gift processing procedures.

2. Database Oversight:

  • Maintain the accuracy and integrity of all constituent records in Raiser's Edge NXT.
  • Perform regular data audits toidentifyduplicates, incomplete records, and inconsistencies.
  • Follow established data standards and naming conventions.
  • Update constituent information including addresses, relationships, communicationpreferences, and biographical details.
  • Create appeals in the database for each fundraising campaign and mailer to accurately track solicitations and response metrics.
  • Produce mailing lists for campaigns and mailers based on solicitation criteria and recipientsegments, andensure donor records are updated accordingly.
  • High levelof database accuracy with minimal data errors.

3. Donor Acknowledgments:

  • Generatetimelyandaccuratedonor acknowledgment letters and tax receipts (typically within 48-72 hours).
  • Ensure acknowledgments reflect appropriate recognition, tribute information, and gift restrictions.
  • Coordinate with development staff on personalized stewardship for major donors.
  • Manage year-end giving statements and acknowledgments for prior-year gifts.

4. Reporting & Analysis:

  • Create reports, dashboards, and queries to support fundraising and leadership.
  • Produce recurring reports including:
  • Average gift size
  • LYBUNT
  • SYBUNT
  • Donor retention
  • New, renewed, and lapsed donors
  • Monthly and year-to-date fundraising results
  • Campaign and appeal performance
  • Major gift pipeline reports
  • Annual Giving Circle Lists for publication
  • Continuous improvement of database processes and reporting capabilities.

5. Compliance & Quality Control:

  • Protect confidential donor information.
  • Ensure compliance with IRS charitable receipt requirements and organizational gift acceptance policies.
  • Develop andmaintainwritten procedures for gift processing and database management.
  • Identifyopportunities to improve efficiency and data quality.

6. Other Tasks & Duties:

  • Complete other duties as assigned.

QUALIFICATIONS:

Required:

  • Experience with a Donor CRM, preferably NXT, including database management, reporting, and data maintenance.
  • Experience processing charitable gifts in a nonprofit environment.
  • Demonstrated commitment tomaintainingexceptional data integrity.
  • Experience creating queries, reports, and dashboards.
  • Advancedproficiencyin Microsoft Excel and Microsoft Office.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple deadlines whilemaintainingaccuracy.
  • Excellent written and verbal communication skills.

Strongly Preferred:

  • 3+years of experiencewith Blackbaud Raiser's Edge NXT or extensive experience with Raiser's Edge databaseadministration.
  • Knowledge of nonprofit fundraising operations and donor stewardship.
  • Experience supporting annual giving, capital campaigns, or major gifts.
  • Familiarity with importing and exporting data.
