Job description

The Production Administrative Assistant provides administrative support to ensure efficient operation of the office. Answers phone calls, schedules meetings and supports visitors. Carries out administrative duties such as filing, typing, copying, binding, scanning etc. Makes travel arrangements for colleagues such as booking cars, and hotel or restaurant reservations. Exhibits polite and professional communication via phone, e-mail, and mail. Supports Production department by coordinating and organizing task that ensure the efficiency of the department. Arrange opportunities within the production department for educational and growth opportunities. Contributes to team effort by accomplishing related results as needed.

Starting pay for this position is $25.00 per hour. You will also participate in the quarterly bonus scheme for production employees which offers potentially $3,000.00 annually/$750 maximum per quarter based on KPI achieved on a quarterly basis.

At the first of the month following 30 days of employment:

  • Genan provides Medical, Dental and Vision coverage paid at 100% by the company for the employee

After 90 days of employment:

  • You will be eligible to participate in the Genan 401k plan, in which the company contributes up to 3%.
  • Life insurance is provided at no cost to you at 1x your annual salary with a $50,000 max 
  • Short Term Disability and Long Term Disability will be provided and paid 100% by Genan
  • You begin earning PTO (Paid Time Off) the 1st of the month following 90 days of employment.   It is accrued on a bi-weekly basis with a total accrual of 15 days for the first year.  Pro-rated according to your start date.
  • You may elect additional life insurance and Critical Injury insurance at your own expense for you and your dependents.

General

  • Meeting preparation in general, that includes planning, preparation and presentation of agenda and minutes for all local department meetings. 
  • Planning trips for employees in the production department.
  • IT support towards production (outlook, Sherlock, etc.).
  • Order and coordination of all the training courses as requested by the department manager – in coordination with HR when applicable,
  • Creating Equipment in Sherlock and archiving service reports as well as contacting suppliers.
  • Preparation of instructions for production as well as documentation for external suppliers (service).
  • Translation of documents between local language and English.
  • Archiving documentation/reports in Sherlock/SharePoint
  • Updating of documents – Operational, Maintenance, QHSE and Technical, including yearly update of the "Qualification Matrix"
  • Ordering uniforms/shoes for employees, keeping track of uniforms/shoe count, maintaining an accurate record, and checking bills from supplier - ensuring we are billed correctly.
  • Preparation of TCEQ Manifest and mailouts

HR-related

  • Update email groups and birthday lists for the Production department
  • Handling of documentation – such as basic information /safety instructions and Declaration on delivery of Personal Protection Equipment
  • Support for bookkeeping regarding approval of bills before approval by the plant manager.
  • Upload of Toolbox, courses etc.

QHSE

  • Support on registration and distribution of TF, QHSE events and internal quality deviations.
  • Ordering and follow-up on workwear and PPEs – all communication with suppliers.
  • Support for handling chemistry database.
  • Support in the preparation of the toolbox.
  • Contribute to local planning of audits (external suppliers, documentation thereof).
  • Performing New Hire Safety Orientation

Production

  • Support on monthly collection of KPI statistics for data entry

Must have:

  • High School.
  • 3+ years’ experience from a similar position in a manufacturing company (preferential)  
  • Fluency in English and Local Language in both writing and speech is a requirement.
  • Master competency of Office, Microsoft suites (ie., word, power point, excel)
  • Structured, persistent, and good at prioritizing tasks – the big picture.
  • Thrives with many interruptions and rapidly changing tasks.
  • Desire and ability to communicate across the organization.
  • Knowledge of the environment and safety in a manufacturing company with focused of ISO standards and quality management software

 Nice to have:

  • Knowledge of Danish, German and/or Portuguese
  • Project Management 
  • Negotiation skills
