POSITION SUMMARY: Estimated six-month, full-time employment engagement
The Voice AI Project Manager serves as the implementation lead across all active Voice AI deployments, sitting at the intersection of client delivery, operational execution and program development. This role currently spans six beta clients at varying stages of go-live and is built for ambiguity, requiring the ability to pivot quickly as product capabilities and program priorities evolve in real time. The person in this role will surface implementation considerations early and translate learnings into repeatable frameworks for general availability and future clients.
This is temporary, full-time employment position. We estimate this project will take six months, with the option to extend in 30-day increments if necessary.
ESSENTIAL FUNCTIONS:
  • Design, document and continuously improve the end-to-end implementation process for the Voice AI Agent, from pre-deployment discovery through post-launch optimization.
  • Serve as the internal subject matter expert and primary point of contact for Voice AI deployment projects, partnering closely with implementation, client success and product teams.
  • Review AI-handled calls per client across all live Voice AI Agent deployments to identify misroutes, failed containment, edge cases and scripting gaps, and log findings for prompt and flow adjustments.
  • Pull and analyze KPIs across the VocalVector dashboard, VV call exports, client phone systems (e.g., Weave), Clearwave Scheduling dashboard and audit logs, tracking containment rate, transfer rate, handle time, scheduling activity and pass rate per client.
  • Maintain the Voice AI Beta Dashboard and weekly reporting for internal stakeholders.
  • Partner in all weekly Voice AI implementation calls directly with client contacts, communicating performance data, flagging open items and aligning on next steps.
  • Build and maintain a library of repeatable assets, including call flow templates, specialty-specific scripting guides, integration checklists, training materials and onboarding playbooks.
  • Lead client-facing project management for Voice AI implementations during the beta program, ensuring on-time delivery and measurable outcomes, including call resolution rates and hours saved.
  • Maintain living documentation that reflects current product behavior, integration requirements and workflows.
  • Translate product and engineering updates into updated implementation processes, ensuring teams and clients stay aligned as the Voice Agent evolves.
  • Identify patterns across deployments to feed continuous improvement back into both the product roadmap and implementation methodology.

Experience:
  • Bachelor's degree in Business Administration, Development, Engineering or related field, or equivalent experience required
  • Prior experience in implementation, client success, project management or program management, ideally in a SaaS, healthcare technology or AI product environment.
  • Experience supporting or leading client-facing rollouts of new or emerging products, particularly during beta phases.
  • Experience working cross-functionally with product, engineering and client-facing teams.
  • Experience building process documentation, playbooks or training materials.
  • Healthcare, healthcare technology or patient engagement experience is a plus.
  • Experience working with AI-driven products, voice agents, or contact center / IVR technology is a plus.

Computer Skills:
  • Proficiency with dashboard and reporting tools for tracking KPIs such as containment rate, transfer rate, handle time and pass rate.
  • Comfortable working across multiple software systems simultaneously, including client phone systems and scheduling platforms.
  • Proficiency with standard business productivity tools (e.g., Microsoft Office or Google Workspace) for documentation, reporting and presentations.
  • Familiarity with call audit or call review tooling and the ability to interpret call logs and transcripts.
