Bleuwave is a fast-growing, multi-division construction and services organization with operations across Arizona and Texas, spanning MEP (Mechanical, Electrical, Plumbing), General Contracting, and Handyman divisions. We’re seeking a highly organized and resourceful Executive Assistant to provide full-time support to our two principal executives. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced environment and can anticipate needs before they arise.



Key Responsibilities


Executive Support

  • Serve as the primary point of contact for both executives, managing calendars, scheduling meetings, and prioritizing time effectively.
  • Coordinate internal and external meetings, including leadership team sessions, board meetings, and strategic planning offsites.
  • Prepare agendas, take meeting notes, track follow-ups, and ensure deadlines are met.
  • Anticipate scheduling conflicts and resolve proactively.


Operational & Administrative Support

  • Draft and manage high-level correspondence, presentations, and reports on behalf of executives.
  • Coordinate travel arrangements and itineraries as needed.
  • Manage expense reports, receipts, and reimbursements accurately and on time.
  • Support document management and organization across digital platforms (e.g., Google Workspace, shared drives, HRIS, etc.).


Project Coordination

  • Assist in tracking strategic initiatives, ensuring action items from leadership meetings are executed.
  • Support cross-functional projects, acting as a liaison between the executives and department leaders.
  • Prepare briefing materials, research background information, and ensure executives are prepared for all engagements.


Communication & Gatekeeping

  • Professionally manage inbound communications (email, calls, requests), ensuring priority messages are elevated promptly.
  • Maintain a high level of confidentiality and discretion when handling sensitive information.
  • Represent the executives and Bleuwave brand with professionalism in all interactions.


Qualifications

  • 5+ years of experience supporting senior executives in a fast-paced environment (construction, real estate, or similar industries a plus).
  • Exceptional organizational, time-management, and prioritization skills.
  • Excellent written and verbal communication abilities.
  • Strong proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) and Zoom.
  • Proven ability to work independently, exercise good judgment, and maintain confidentiality.
  • Strong attention to detail with the ability to manage multiple tasks simultaneously.
  • Positive, flexible, and solutions-oriented mindset.
