Operations Assistant
Human Resources, Athletics & Operations Support (32-hour per week position with a .75 FTE)
The Operations Assistant provides high-level administrative and operational support across Human Resources, Athletics, Transportation, and Business Operations. This position serves as a key organizational support role, helping ensure efficient daily operations, exceptional customer service, and the successful coordination of school-wide administrative processes.
This position is a cross-functional support role that assists multiple operational departments in maintaining efficient, student-centered school operations.
The ideal candidate is highly organized, collaborative, detail-oriented, and capable of managing multiple priorities while maintaining professionalism and confidentiality in a dynamic school environment. This role supports the Human Resources Manager, Athletic Director, and Business Operations Director through a combination of administrative coordination, logistics management, onboarding support, transportation compliance, and athletics event support.
Essential Duties and Responsibilities
Human Resources & Hiring Support
Provide administrative support to the Human Resources department and assist with employee onboarding processes.
  • Help create a welcoming and positive onboarding experience for new employees.
  • Assist with onboarding events, orientation preparation, and new staff support.
  • Coordinate onboarding tasks for new employees, including fingerprinting, background checks, and keys and badges.
  • Assist in maintaining and updating employee records and onboarding documentation in HR systems.
  • Support HR document organization, filing, and records retention procedures.
  • Assist with tracking employee training, licensure, certifications, and required documentation.
  • Provide timely communication and customer service to applicants, new hires, and staff.
  • Support HR compliance processes and training coordination as assigned.
  • Assist with general HR administrative projects and operational tasks.

Athletics Operations Support
Provide organizational and operational support to the Athletic Director and athletics programs.
  • Coordinate game schedules and official confirmations.
  • Manage early dismissal communication processes for student-athletes, including parent/staff emails and student checkout procedures.
  • Assist with athletics events, banquets, recognition ceremonies, and logistics coordination.
  • Coordinate end-of-season awards preparation and distribution.
  • Administer and compile post-season athlete surveys and feedback.
  • Maintain and update the Wall of Excellence and other athletics recognition displays.
  • Provide general clerical and administrative support for athletics operations and communications.

Transportation & Compliance Support
Assist with transportation operations and compliance coordination.
  • Coordinate bus scheduling and transportation logistics.
  • Assist with maintaining transportation compliance records and documentation.
  • Coordinate initial driver training and renewal training requirements.
  • Assist with transportation inspections and related recordkeeping.
  • Communicate with drivers, vendors, and school personnel regarding transportation needs and schedules.
  • Other duties as assigned.

K-12 Responsibilities
As full-time employees, staff are expected to contribute to the organization's overall success of the organization beyond the regular workday. This may include:

Education and Related Work Experience
  • High School Diploma or equivalent required.
  • Associate degree or coursework in business administration, human resources, or related field preferred.
  • Minimum of two years of administrative support experience required.
  • Previous experience in Human Resources, athletics administration, school operations, or office coordination preferred.
  • Experience working in a school setting preferred.
  • Demonstrated ability to manage multiple priorities and deadlines simultaneously.
  • Strong customer service and communication skills required.

Physical Requirements and Working Conditions
  • Primarily sedentary work at a computer; however, some duties may require movement throughout the school campus and attendance at indoor or outdoor events.
  • The employee is required to talk, hear, walk, stand, sit, and reach.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Required vision abilities include close and distance vision, color vision, peripheral vision, depth perception, and the ability to focus.
  • Work may occasionally be performed outdoors with exposure to varying weather conditions.
  • Work hours may occasionally be extended to support events, athletics functions, or operational needs.
