Job Purpose

The Account Coordinator plays a vital role in a team environment in which the entire team is focused on meeting and exceeding client expectations. The successful Account Coordinator will embrace this role and understand its importance in the smooth delivery of programs.  This person will find further satisfaction in assuming “ownership” of daily duties.  The Account Coordinator supports the operations of G&R Connex by working at the direction of Account Executives. The successful candidate will multi-task, respond quickly and professionally to on-going and late-breaking program changes and help deliver programs on time and on budget.  Responsibilities include but are not limited to facilitating the staffing, event management logistics, administrative and payroll functions of events, tours, and special projects.

Responsibilities

  • Logistics - arrange and communicate travel - flights, transportation, lodging and event details
  • Develop and maintain job worksheets to track and help manage costs and budget
  • Perform job cost tracking for events
  • Create, manage, and control contracts
  • Develop event schedules
  • Assist with seasonal wardrobe (ideas, PowerPoint decks, procurement, reconcile receipts, etc.)
  • Prepare invoicing and coordinate processing with accounting
  • Reconcile credit card charges using an on-line tool
  • Reconcile vendor invoices from car rental agencies, FedEx, etc.
  • Monitor and reconcile Work-in-Progress for jobs
  • Interface with the client under the direction of the Account Executive(s)
  • Be available to monitor and support programs after hours and on weekends as needed

Skills & Qualifications

  • Comfortable and effective multi-tasking and dealing with last minute changes
  • Positive attitude, flexible personality, and creative problem-solving abilities
  • Excellent verbal and written communication skills – comfortable communicating with event staff, co-workers, and clients
  • Exceptional organizational skills, meticulous attention to details & time management
  • Must be able to work independently
  • Strong PC skills, including expertise in Microsoft Word, Excel & PowerPoint
  • Bachelor’s degree or equivalent experience
