Job description

At COCOON, we’re reimagining the remodeling experience by creating a process that is thoughtful, organized, and enjoyable for both our customers and our team. Every successful project depends on clear communication, strong coordination, and seamless collaboration from concept through construction.

As a Project Facilitator, you’ll play a vital role in keeping projects moving through COCOON’s Design Process. Working closely with Project Advisors, Interior Designers, Production, and the Experience Team, you’ll coordinate schedules, organize documentation, facilitate communication, and help ensure every project progresses efficiently from Stage 1 through Stage 3. This role is ideal for someone who enjoys creating order, solving problems, and keeping multiple moving pieces aligned while delivering an exceptional customer experience.

What You’ll Do Project Coordination
  • Coordinate projects throughout COCOON’s Design Process to help ensure milestones, deliverables, and timelines remain on track.
  • Monitor project progress and proactively identify and communicate potential delays or issues.
  • Support the timely completion of required documentation, approvals, and project milestones.
  • Maintain regular communication with internal team members regarding project status, scheduling, and next steps.
  • Assist in prioritizing work to ensure projects continue moving forward efficiently.
Meeting Coordination
  • Coordinate and schedule project meetings, design reviews, production handoffs, and other key project milestones.
  • Prepare meeting agendas and ensure project information is organized and available for productive discussions.
  • Facilitate communication before and after meetings by documenting action items and ensuring follow up with the appropriate team members.
  • Participate in project huddles and cross functional meetings to support project alignment and accountability.
  • Help maintain momentum by ensuring meeting outcomes are communicated and incorporated into project plans.
Documentation & Administration
  • Prepare, organize, and maintain project documentation, contracts, and related records.
  • Maintain accurate project files and ensure documentation is current and accessible.
  • Manage project information within company software platforms and collaboration tools.
  • Support the transition of projects between departments by ensuring documentation is complete and organized.
  • Partner with Project Advisors, Interior Designers, Production, Estimating, and the Experience Team to support successful project execution.
  • Communicate project updates, scheduling changes, and potential risks to the appropriate team members.
  • Build strong working relationships across departments to promote collaboration and an exceptional customer experience.
Process Improvement
  • Follow established company procedures for project management and documentation.
  • Identify opportunities to improve workflows, communication, and operational efficiency.
  • Maintain a high level of organization, accuracy, and accountability while managing multiple active projects.
What You’ll Bring
  • 2+ years of experience in project coordination, project administration, operations, customer service, or a related field preferred.
  • Experience within residential construction, remodeling, interior design, architecture, or a similar industry is a plus.
  • Exceptional organizational and time management skills with the ability to manage multiple projects simultaneously.
  • Strong written, verbal, and interpersonal communication.
  • Exceptional attention to detail and commitment to follow through.
  • Proficiency with Microsoft Office 365 and Microsoft Teams.
  • Experience with Buildertrend, Monday.com, or similar project management software is preferred.
  • Ability to quickly learn new systems and adapt to changing priorities.
  • Self motivated, proactive, and collaborative with strong problem solving skills.
