Position Purpose

The Purchasing & Supply Chain Specialist is responsible for coordinating and executing purchasing and supply chain activities to ensure the timely availability of materials, components, parts, MRO supplies, and equipment needed to support manufacturing and business operations. This role manages supplier relationships, purchase orders, inventory levels, material flow, pricing, and delivery performance while identifying opportunities to improve cost, quality, efficiency, and overall supply chain performance.

This is a full-time, in-office position based in Westfield, Indiana with a standard work schedule of Monday–Friday, 8:00 a.m.–4:30 p.m.

Essential Functions and Responsibilities

• Prepare, issue, and manage purchase orders for raw materials, components, supplies, equipment, and maintenance, repair, and operations (MRO) items.

• Monitor inventory levels and material requirements to ensure adequate supply while minimizing excess and obsolete inventory.

• Post and maintain accurate receiving transactions and inventory records.

• Review demand forecasts, production requirements, inventory levels, and supplier lead times to determine appropriate order quantities and timing.

• Coordinate the movement of materials and inventory between primary and secondary suppliers, warehouses, and other company locations as needed.

• Monitor supplier performance, including pricing, quality, lead times, delivery accuracy, and responsiveness.

• Follow up with suppliers regarding open purchase orders, confirm delivery dates, expedite materials when necessary, and resolve shortages or delays.

• Develop and maintain strong relationships with suppliers and assist with negotiating pricing, payment terms, lead times, and delivery requirements.

• Analyze purchasing and supply chain data to identify cost savings, process improvements, and opportunities to improve inventory management.

• Evaluate product costs, quality, availability, and supplier performance to support purchasing decisions.

• Monitor and communicate changes related to tariffs, freight costs, surcharges, material costs, and other factors that may impact purchasing costs.

• Identify and communicate potential supply chain disruptions, material shortages, vendor issues, and other risks to the Director of Operations.

• Work closely with Operations, Production, Engineering, Quality, Accounting, and other internal departments to coordinate material requirements and resolve purchasing or supply issues.

• Assist with supplier sourcing, qualification, and evaluation as needed.

• Maintain accurate purchasing, supplier, pricing, and inventory information within NetSuite or other ERP systems.

• Review purchasing trends and supplier data to identify opportunities for improved pricing, quality, delivery, and overall supplier performance.

• Assist with inventory planning and cycle-count activities as needed.

• Support continuous improvement initiatives related to purchasing, inventory control, material flow, and supply chain processes.

• Maintain accurate documentation and records related to purchasing and supplier activities.

• Perform other duties and responsibilities as assigned.

Education and Experience Requirements

• Bachelor’s degree in Supply Chain Management, Business, Purchasing, or a related field preferred; equivalent experience may be considered.

• 1–5 years of purchasing, procurement, or supply chain experience, preferably in a manufacturing or production environment.

• NetSuite or other ERP experience preferred.

• Valid driver’s license required.

• Ability to pass a background check.

Knowledge, Skills, and Abilities

• Proficiency with Microsoft Office and NetSuite or other ERP software.

• Basic to intermediate negotiation skills related to vendor pricing, contracts, lead times, and delivery terms.

• Strong analytical and problem-solving skills with the ability to review purchasing, inventory, and supplier data.

• Strong verbal and written communication skills for effective interaction with suppliers, internal departments, and stakeholders.

• Strong organizational skills and attention to detail.

• Ability to manage multiple priorities and meet deadlines in a fast-paced manufacturing environment.

• Ability to identify supply chain risks and proactively develop solutions.

• Understanding of inventory levels, demand planning, lead times, and material availability.

• Strong mathematical and cost-analysis skills.

• Ability to work independently while contributing effectively to a team-oriented environment.

• Ability to build and maintain positive supplier and internal business relationships.
