Job description

Job Title: Maintenance Software Administrator

Reports To: SVP of Maintenance and Facilities

Location: Wall Township, NJ

Job Type: Full-Time, Monday-Friday

Pay Range: $65-75K, based on experience

Job Summary:

The Maintenance Software Administrator is empowered to manage overall maintenance and fleet system usage throughout the entire organization. The Maintenance Software Administrator will work on autonomous tasks and oversee efforts across teams of system users.

Essential Duties and Responsibilities:

  • Computerized Maintenance Management System (CMMS)
  • Manage the Cetaris system companywide, in US and Canada
  • Ensure various reports are created and distributed as needed
  • Implementation of system changes, updates, and additional functionality rollouts
  • Identify continuous improvement for existing solutions
  • Drive forward the company’s overall capabilities around fleet and maintenance system
  • Work as a self-starter, with guidance and support from Senior Vice President of Maintenance
  • Partner with various functional area staff and management to develop new solutions and improve existing solutions
  • Stay up to date and ensure STA is applying best practices around fleet and maintenance system usage
  • Ensure proper levels of security and risk mitigation are being implemented across the entire ecosystem
  • Update and maintain LUT tables: VRMS Codes, Asset type and Categories, Cost Centers, Digital Dashboard, Equipment Tables, Inspection Forms, NVP flags, Manufactures, Markups (Part, PO’s, Sales, labor), Tax setup
  • Maintain Asset database:
  • Transfer units within Cetaris.
  • Add new units to Cetaris - collaborate with Finance.
  • Update information in units via SIM or manual entry.
  • Assign PM schedules, recalls, and campaigns to units.
  • Update Odometers to reflect accurate readings when there is a discrepancy.
  • Create SIM forms to update only the fields required in the Equipment.
  • Trouble Shoot and correct errors in data tables.
  • Maintain Parts Data base: Ensure Temp parts are entered correctly, Update warranty, supplier, and manufacturer info, Maintain National negotiated pricing.
  • Maintain, create and assign warranty agreements to units.
  • Create and Maintain Standard Jobs, create schedules and assign units, create unit specs and assign Standard jobs. (PM, Recalls, Campaigns, and regulator Standard Jobs).
  • Create and maintain company hierarchy (Companies Fleets, facilities and inventory locations).
  • Create and maintain Shifts for facilities.
  • Create and update users.
  • Create and update Roles.
  • Create and update PO approval types and levels.
  • Work with IT to create and maintain KPI and Business critical reports.
  • Monitor and trouble shoot SIM errors and failures.
  • Day today Day trouble shooting and problem solving.

Facility Software:

  • Monitor and update Risk star facility information
  • Work with operations and maintenance to ensure accurate data input and updates.
  • Runs reports and database information for annual reporting for required regulatory compliance

Department Support:

  • Work with Business solutions to develop and maintain Power BI reporting for the maintenance department.
  • Assist in the development and building of the Maintenance costing model process. Requiring complex formula generation and development.
  • Support Fleetsoft data request following transition to Cetaris.
  • Support other corporate departments with data requests.
  • Other duties as assigned

Education and Experience:

  • High School Diploma or equivalent
  • 3-5+ years of experience in system admin, product management, system oversight at corporate level
  • 5-7+ years’ hands-on experience with systems
  • 3-5 years end user support
  • Experience with managing third party vendors
  • Experience with planning and executing training plans for system users
