Role At A Glance

Gecko is seeking an enthusiastic Recruiting Coordinator to own, manage, and elevate the candidate experience. As a Recruiting Coordinator, you'll be the operational backbone of our hiring process and often the first point of contact for prospective team members, ensuring every interaction reflects Gecko's commitment to excellence. Beyond executing interview logistics, you'll help identify opportunities to improve recruiting operations as we continue to scale.

This role is based full-time at our headquarters in Pittsburgh, PA, where you'll partner closely with Recruiters, Hiring Managers, Business Partners, and interviewers.

What You Will Do
  • Serve as the point of contact for candidates throughout the interview scheduling process, acting with a high sense of urgency and professionalism.

  • Provide an exceptional and welcoming recruiting experience for candidates and interviewers.

  • Collaborate with recruiters to proactively identify process improvements, and surface any trends or important data points.

  • Utilize clear, concise, and professional written and verbal communication with candidates and internal partners.

  • Schedule and facilitate a high volume of phone, video, and onsite interviews, for multiple candidates and calendars to meet tight deadlines and all team SLAs.

  • Build positive relationships with hiring managers and interviewers, acting as a partner to provide any information required for interviews or to adjust schedules as needed.

  • Take on special projects as needed related to recruiting and recruiting operations, etc.

  • Travel up to 25% domestically as needed to support recruiting initiatives, onsite interviews, hiring events, and other business needs.

About YouRequired Skills
  • 2+ years of experience in Recruiting Coordination, Talent Acquisition Coordination, Recruiting Operations, or a similar role supporting high-volume hiring.

  • Demonstrated experience coordinating high-volume phone, virtual, and onsite interviews across multiple teams in a fast-paced environment.

  • Experience managing complex calendars involving recruiters, hiring managers, interviewers, executives, and candidates.

  • Experience utilizing an Applicant Tracking System (ATS) to manage interview scheduling, candidate records, and recruiting workflows.

  • Experience scheduling and coordinating interviews using Zoom or a comparable virtual meeting platform.

  • Strong written and verbal communication skills with the ability to build trusted relationships across all levels of an organization.

  • Proven ability to prioritize effectively, adapt quickly to changing priorities, and consistently meet deadlines while operating with a high sense of urgency.

  • Strong problem-solving skills with the ability to anticipate scheduling conflicts, exercise sound judgment, and proactively resolve issues.

  • Demonstrated ability to handle sensitive and confidential information with professionalism and discretion.

  • Strong commitment to delivering an exceptional candidate and hiring manager experience.

  • Willingness and ability to travel up to 25% to support recruiting events, hiring initiatives, and other business needs.

  • Ability to work full-time onsite at Gecko's headquarters in Pittsburgh, PA.

  • Experience supporting recruiting within a high-growth startup or scaling technology company.

  • Experience supporting technical recruiting teams hiring software, robotics, hardware, engineering, or product talent.

  • Experience using Ashby as an Applicant Tracking System.

  • Experience identifying and implementing improvements to recruiting operations, interview scheduling workflows, or candidate experience.

  • Experience supporting recruiting metrics, reporting, or operational dashboards.
