GENERAL DESCRIPTION
The Emergency Preparedness & Response Coordinator supports the planning, coordination, and execution of regional healthcare emergency preparedness and response activities across Southwest Ohio. This position is responsible for ensuring successful completion of Hospital Preparedness Program (HPP) grant deliverables. This role plays a key part in advancing the work of the regional healthcare coalition and requires the ability to engage partners and to work with various disciplines. The proper candidate will have knowledge of grant work and a clear understanding of emergency preparedness capabilities. This position requires excellent time management skills and the ability to work as a team or independently.
JOB RESPONSIBILITIES
  • Support coordination of the Southwest Ohio Healthcare Coalition (HCC), including engagement with hospitals, public health agencies, emergency management, EMS, and community partners.
  • Support execution of emergency preparedness and response grant deliverables, including project management, documentation, reporting, and performance tracking.
  • Participate in team coordination and planning of tabletop, functional, and full-scale multi-county exercises.
  • Collaborate and participate in regional/statewide meetings and initiatives.
  • Coordinate and facilitate regional meetings, compile meeting minutes, and maintain documentation of strategies, activities and responsibilities.
  • Monitor and provide communications regarding preparedness and situational awareness information to HCC staff and Coalition partners.
  • Serve as an administrator for the following emergency management specific systems in accordance with the regional response plan; may include but is not limited to: EMResource, EMTrack, WENS, OPHCS, WebEOC, MARCS, Disaster Net.
  • This role participates in a shared 24/7 response structure, supporting coordination during real-world incidents and exercises.
  • Conduct inventory site visits for southwest region hospitals, as needed.
  • Support logistics of regional cache management.
  • Maintain current job-related knowledge base consistent with local, regional, state, and national emergency preparedness standards.
  • Execute on the mission, vision, and values of both The Health Collaborative and the SW Ohio HCC.

Requirements
POSITION REQUIREMENTS
  • Minimum 2 years' emergency management experience
  • Knowledge of healthcare and emergency preparedness terminology, including basic medical terminology, anatomy and physiology, and medical equipment.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Proficient in database management and survey platforms
  • Strong skills in project planning, oral and written communication and presentation
  • Ensure data confidentiality, HIPAA Compliance

EDUCATION/CERTIFICATION REQUIREMENTS
  • Associate degree in a related field and/or relevant licensure or certifications in emergency preparedness, response, healthcare, or public health (e.g., EMT, paramedic, fire service certifications, emergency management certifications), or equivalent experience.
  • Completion of FEMA Certifications and HSEEP Training within 1 year of hire

PREFERRED QUALIFICATIONS
  • Bachelor's Degree in a related field
  • Experience in a clinical healthcare setting, preferably in emergency preparedness or response
  • Grant administration experience
  • Experience in the application of the Incident Command System (ICS) during disaster or emergency situations
  • Training in IS 100, 200, 700, & 800
  • FEMA Homeland Security Exercise and Evaluation Program (HSEEP) Certification

OTHER INFORMATION
Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files. Requires ability to occasionally lift up to 20 lbs. independently. May require occasional evening and weekend hours as business needs demand. Occasional local travel and may also be required. Requires participation and attendance at organization-sponsored events and meetings.
