Description
The Sales Assistant plays a key role in supporting their sales manager by managing order execution, maintaining accurate product and order data, and coordinating communication across internal departments and external partners. This role helps ensure that purchase orders, samples, and production timelines are processed accurately and efficiently while supporting day-to-day sales operations and client needs.
The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced wholesale apparel environment. This role will participate in sales meetings, assist in preparing presentations, and support account management activities with major retail partners. The role will support mid-tier retail accounts including Kohl's, Meijer, Fred Meyer, Von Maur, Nordstrom Rack, Macy's Backstage, Belk and Boscov's.
Responsibilities
Order Management & Processing
  • Process bulking orders and prepare order recaps for buyers
  • Prepare and maintain buysheets and work with planning, production and merchandising teams to confirm
  • Enter and revise orders including cost, delivery dates, quantities, account details, and PO splits
  • Send purchase orders to Order Entry and follow up to ensure accurate processing
  • Review Orders Entered reports to confirm accuracy and completeness
  • Confirm shortages or overages with Order Entry and overseas teams and communicate updates to buyers
  • Request revised POs or EDIs from buyers when needed
  • Process order reductions or increases based on buyer or vendor requests

Production & Delivery Coordination
  • Work closely with production teams to ensure orders remain on schedule and meet delivery timelines
  • Follow up on production timelines (TNA) and monitor progress for open orders
  • Coordinate with overseas vendors and internal teams to resolve issues affecting order delivery
  • Monitor open order reports and review past cancel orders to determine next steps

Warehouse & Logistics Coordination
  • Communicate regularly with warehouse, traffic, and imports teams regarding order status, routing, and shipping
  • Follow up on tracers, pick tickets, BOLs, invoices, and packing lists when requested by buyers
  • Confirm routing, shipping schedules, and portal requirements for accounts
  • Ensure orders are picked and shipped according to buyer and portal requirements

Sample & Product Management
  • Enter and manage sample requests through PLM and AS400 systems
  • Track sample requests and follow up with warehouses or overseas teams as needed
  • Provide photos, TOP samples, CADs, and product information to buyers upon request
  • Coordinate with design teams for style numbers, trims, and product details

Systems & Reporting
  • Maintain accurate product and order information in PLM and internal systems
  • Review buyer spreadsheets and reports to ensure accuracy of information
  • Monitor reports for open orders, past cancel orders, NA styles, and order discrepancies
  • Work with IT to troubleshoot system or allocation issues when needed

Sales Support
  • Assist with sales calls, meetings, and presentations by taking notes and preparing follow-up recaps
  • Respond to buyer inquiries and support account communication in a timely manner
  • Support the sales team in identifying opportunities to increase sales through product promotions or inventory opportunities
  • Conduct market research and provide insights on product trends when applicable

Requirements
  • 1-3 years of experience in wholesale apparel, merchandising, sales support, or production coordination preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication skills and ability to work cross-functionally with multiple teams
  • Experience working with ERP or PLM systems such as AS400 or OneWorldSync preferred
  • Proficiency in Microsoft Excel and Microsoft Office

Hybrid Work Schedule
4 days per week in the office, Friday work from home
New York Pay Rate $52,000.00 - $60,000.00
