This is not an entry-level administrative position. We are looking for a highly organized professional with strong analytical skills, exceptional attention to detail, and the ability to manage multiple confidential projects while supporting executive leadership across our growing property management company.

Key Responsibilities

As an Administrative Support Specialist, you will:

  • Support executive leadership with high-level administrative projects and operational initiatives.
  • Prepare, distribute, and maintain company and investor reporting, including quarterly financial and operational reports.
  • Assist with drafting responses and gathering documentation related to Fair Housing claims and legal matters.
  • Create and maintain company-wide databases, reports, and spreadsheet summaries for operational metrics and reporting.
  • Coordinate and organize documentation for insurance claims and other corporate projects.
  • Maintain and update company operations manuals, policies, forms, and standard operating procedures.
  • Edit, update, and distribute lease documents, addendums, and compliance forms within RealPage and the company Forms Library.
  • Assist with annual reporting requirements and regulatory documentation.
  • Coordinate lender and syndicator inspections, ensuring all requested documentation is complete and submitted on time.
  • Manage monthly tracking reports and administrative worksheets.
  • Provide front desk coverage and administrative support as needed.
  • Perform other projects and responsibilities as assigned.
Qualifications

Required:

  • Minimum 3 years of professional administrative or executive support experience.
  • Advanced proficiency with Microsoft Office, especially Excel, Word, and Outlook.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • High attention to detail with exceptional accuracy.
  • Ability to manage multiple priorities while meeting deadlines.
  • Professional communication skills, both written and verbal.
  • Ability to handle confidential information with discretion.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience using multi-line phone systems.

Preferred:

  • Experience with RealPage/OneSite.
  • Experience supporting executive leadership.
  • Background in property management, real estate, finance, legal, or compliance.
  • Experience creating reports, spreadsheets, and company documentation.
