Iron Horse LLC is a growing, woman-owned pipeline rehabilitation company based in Fairview, OR. With a team of 40 dedicated employees in Oregon and Arizona, we deliver trenchless solutions to municipalities and contractors across the region. We take pride in our trade, our people, and the communities we serve.

THE ROLE

We're looking for a dependable and detail-oriented Office Administrator to be the operational backbone of our office. You'll keep our day-to-day running smoothly - from entering our Accounts Payable, ensuring we are in compliance with all things DOT related, tracking and costing our credit card usage in Quickbooks, to supporting our field crews with various tasks. This is a vital role for a growing company, and the right person will have real ownership, impact, and endless potential for growth!  DOT experience would definitely give you an edge on other applicants.

WHAT YOU'LL DO

  • Enter Accounts Payable as received and correspond with vendors
  • Track monthly truck milage and complete monthly and quarterly reporting
  • Distribute, collect, and enter monthly credit card statements
  • Maintain and organize pre/post trip reports and grid logs
  • Ensure DOT compliance and fleet maintenance
  • Coordinate with field crews and project managers on scheduling and logistics
  • Support HR functions including onboarding, employee records, and benefits administration
  • Assist the owner with reporting, correspondence, and special projects as needed

WHAT WE'RE LOOKING FOR

  • 2–5 years of experience in an office administrator, office manager, or similar role
  • Proficiency in QuickBooks - this is a must-have
  • Strong Microsoft Office skills (Word, Excel, Outlook)
  • Excellent organizational skills and attention to detail
  • Clear, professional communication - both written and verbal
  • Ability to juggle multiple priorities in a fast-paced environment
  • Experience in construction, utilities, or the trades environment is a bonus, but not required
