Job description

As Wedgewood's Entertainment Department expands into new markets, we're looking for an Entertainment Expansion Administration Manager to help build the administrative systems, processes, and client support that make each launch successful. This role provides administrative leadership during new market launches, working closely with Expansion Team leadership, Regional Managers, and venue teams to ensure every market is fully prepared before transitioning to long-term regional support.

What You'll Do

  • Manage assigned venues from an entertainment administration perspective, including client Music Worksheets, timelines, and DJ scheduling
  • Coordinate client and DJ communication, including introductions, reassignments, and event details
  • Serve as a point of contact for client and venue coordinator questions, escalating as needed
  • Maintain accurate documentation, scheduling calendars, and communication logs
  • Provide leadership and support to Entertainment Administration Assistants, including onboarding and training
  • Help develop and standardize administrative processes for new market launches
  • Identify workflow inefficiencies and recommend scalable improvements
  • Partner with Expansion Team leadership on staffing needs and operational readiness

What We're Looking For

  • Strong organizational and time management skills with excellent attention to detail
  • Clear, professional written and verbal communication
  • Prior administrative or coordination experience, ideally in events, hospitality, or a similar fast-paced environment
  • Comfort managing multiple priorities and cross-functional relationships
  • Leadership or mentorship experience is a plus

Work Schedule & Availability

  • As we collaborate with colleagues and clients on the East Coast, standard working hours are 8:00 AM–4:00 PM Pacific Standard Time (PST), Monday through Friday.
  • Maintain consistent availability and responsiveness during scheduled working hours.
  • Be prepared to attend virtual meetings, respond to team communications, and address time-sensitive administrative needs throughout the workday.
  • Communicate proactively regarding schedule changes, time off, or any circumstances that may affect availability.

Remote Work Expectations

  • Maintain a professional, reliable, and distraction-free remote work environment.
  • Have dependable high-speed internet and the technology necessary to perform the role effectively.
  • Demonstrate strong time management, organization, follow-through, and independent decision-making.
  • Keep communication channels and calendars current and respond to messages in a timely manner.
  • Protect confidential company, client, and employee information at all times.
