EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
One year related experience and/or training; or equivalent combination of education and experience
High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Enter and maintain student data and attendance, accurately and in a timely manner within the Student Software System. Under direct supervision, perform data entry including attendance and Public Information Management System (PEIMS) data. Validation of student attendance per state laws and District guidelines.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Verifies, compiles and posts daily attendance.
2. Communicates with parents/guardians concerning student attendance by phone and in person.
3. Administers admission slips to students who have been absent.
4. Solicits assignments from teachers for absent students and makes them available for parents/guardians to pickup.
5. Supervises and instructs student aides in the performance of attendance duties.
6. Evaluates student aide performance for grades.
7. Balances attendance counts and maintains records of student entries, exits and grade level changes daily.
8. Stores 6-week cycle attendance reports in Docuware and signs off on the attendance cycle verification form.
9. Prepares records for audit purposes.
10. Processes incoming phone calls from parents/guardians regarding student attendance.
11. Processes student notes regarding absence from school.
12. Verifies identification of adults taking students from school early.
13. Refers students to appropriate administrator as needed.
14. Maintains student files containing attendance related documentation, e.g. notes, etc.
15. Maintains confidentiality of accessible information required to perform assigned tasks.
16. Performs data entry of students who have signed up for Saturday School.
17. Refers teachers to appropriate administrator as needed to record student attendance.
18. Ensures compliance with all state laws and District policies and regulations concerning job functions.
19. Maintains inventory of forms and supplies.
20. Maintains office equipment located in the Attendance Office.
21. Reports all attendance problems to designated administrator.
22. Attends all required workshops.
23. Maintains confidentiality of information.
24. Reports to work on time every day.
25. Performs additional duties and responsibilities as may be assigned.
QUALIFICATION REQUIREMENTS:• Proficient typing, key boarding, file maintenance and 10-key skills
• Excellent oral and written communication skills
• Strong organizational and interpersonal skills
• Ability to use personal computer, proficient in Microsoft office, adept skills in Microsoft Excel and Word. Proficient in use of Google Drive: Google Sheets, Google Docs and Google Forms.
• Ability to meet established deadlines
• Ability to effectively present information and respond to questions from clients, customers, and the general public
• Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
PHYSICAL DEMANDS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to reach with hands and arms and taste or smell. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.
WORK ENVIRONMENT:The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
