Position Title: Vision & Mission Trip Leader/Travel Analyst

Department: Travel Ministry

Reports to: Director of Travel Ministry

Position Location: South Florida (Hybrid preferred). Candidates must reside in or be willing to relocate to South Florida to support organizational collaboration, donor engagement, and travel ministry activities.


Position Summary:

To help realize Cross Catholic Outreach’s Vision of “All Catholics around the world united in overcoming material and spiritual poverty,” the Vision & Mission Trip Leader organizes and leads donors and staff members on trips to visit international ministry partners (grantees). Trips may vary from 4 days to 2 weeks in length and require up to 50% international travel. Trip organization includes listening to the wishes of those traveling and communicating with ministry partners to create itineraries that capture those wishes. Financial responsibilities include creating budgets, handling expenses in-country, and then reconciling expenses and providing a final financial report. The VM Trip Leader will also contribute to the positive culture of the Travel Ministry, characterized by servant leadership, customer service, and enduring excellence, by participating in the ongoing pursuit of best practices and process improvement by the Travel Ministry team, and by working collaboratively with other teams within CCO.

Educational or Certification Requirements:

·        Bachelor’s degree in International Studies, International Development, Business Administration, Project Management, Hospitality Management, or a related discipline is preferred, but equivalent life experience will be considered. Project Management certification (PMP, CAPM, or equivalent) is a plus.

·        Fluency in written and spoken English and Spanish Required.


Experience Requirements:

·        5+ years of experience organizing, managing, and leading international group travel

experiences.

·        Demonstrated experience working in Central America, South America, and the Caribbean; familiarity with ministry partners, cultural dynamics, and travel logistics in these regions strongly preferred.

·        Experience managing donors, staff, church, and/or executive vision trips.

·        Experience creating and managing detailed trip budgets, expense reconciliation, and financial reporting.

·        Experience managing multiple concurrent projects and stakeholders.

·        Experience presenting information to small and large groups, including donors, staff, and

leadership teams.

·        Experience analyzing data and identifying trends to support strategic decision-making.

·        Experience using CRM, travel management, and project management systems preferred.

Technical Skills Requirements:

·        Advanced Microsoft Excel proficiency (pivot tables, formulas, data analysis, reporting).

·        Experience with Power BI or other business intelligence tools.

·        Strong presentation development skills (PowerPoint and executive-level presentations).

·        Data analysis and trend identification capabilities.

Duties:

Program Design

·        Develop standard vision and mission trip itineraries in accordance with the travelers’ wishes and balanced with what works best for the ministry partners; develop budgets and communicate trip costs

·        Alongside International Programs Group (IPG) staff, collaborate with key ministry partners to proactively identify strategic opportunities for vision trip visits and service project opportunities that align with their existing goals, strategies, and stated needs.

·        Develop a schedule of strategic vision trip sites and service projects available throughout

the year.

·        Proactively plan vision and mission trips around the timing of these existing strategic vision trip moments and service project opportunities.

Pre-Trip

·        Coordinate arrangements with ministry partners and trip participants for group field visits.

·        Organize trip itinerary, confirm all hotel, ground transportation, and in-country airline

reservations, as well as meals, snacks, and safe water and beverages.

·        For mission trips, incorporate one or more service projects identified by the ministry

partner.

·        For vision trips, incorporate engagement activities based on affinities of participants.

·        Collaborate with Development Officers with regard to customizing itineraries as needed for

their particular groups.

·        Work with the Travel Coordinator to advise on group air travel arrangements so all participants arrive on schedule.

·        Work with the Travel Coordinator to utilize an online mission trip registration platform to monitor group registration progress, download travel forms, and send messages to the registered participants.

·        Work with the Travel Ministry Team to provide pre-trip orientation and post-trip debriefing

sessions.

During Trip

·        Serve as the main leader of the group throughout the trip.

·        Support the attending Development Officer in stewarding relationships with participant

donors.

·        Incorporate spiritual emphasis into itineraries such as times for Mass and visits to pilgrimage sites, when appropriate.

·        Coordinate with participating priests in leading group spiritual reflection. Lead reflection

when a priest is not participating.

·        During each trip, demonstrate knowledge of the project, partner, and culture being visited.

·        Participate as needed in Mission Trip service projects.

·        When possible, serve as translator during trips, and/or arrange for the presence of translator(s) as needed.


·        Take photos for marketing materials and participant updates as requested by MarComm.

·        Maintain a professional appearance and manner of conduct at all times, with all clients,

coworkers and ministry partners.

·        Ensure appropriate conduct among group members and their interaction with partners and

beneficiaries.

·        Travel approximately 50% (Internationally)

Data Reporting and Continuous Improvement

·        Analyze travel trends, participant feedback, ministry partner engagement, and operational performance data.

·        Develop dashboards, reports, and presentations to support leadership decision-making.

·        Identify opportunities to improve efficiency, traveler experience, and ministry partner

engagement.

·        Monitor key performance indicators (KPIs) and recommend process improvements.

·        Present findings and recommendations to leadership teams and stakeholders.

Administrative

·        After each trip, reconcile budget-to-actual expenses.

·        Submit expense reports and receipts promptly.

·        Incorporate post-trip feedback from participant and partner surveys into future trips, for

continuous improvement.

·        This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required.

·        In addition to the required International Travel, this position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. This type of travel frequency is expected to be limited and scheduled in advance when possible.
