We’re looking for a highly organized, systems-minded Maintenance Systems Coordinator to serve as the central nervous system of our maintenance operations across multiple automated warehouse sites.
This role owns the structure, data quality, and optimization of our Computerized Maintenance Management System (CMMS — MaintainX), supporting maintenance and engineering teams at three U.S. facilities: Hebron, KY; North Las Vegas, NV; and Bethlehem, PA.
 
You’ll work from our brand new site located in Bethlehem, PA, focusing primarily on data accuracy, preventive maintenance scheduling, reporting, and continuous improvement of digital maintenance workflows. You’ll also partner closely with the Engineering Manager to support project documentation, asset onboarding, and system integration for new facilities and equipment.
 
This position is ideal for a technically minded problem-solver who wants to build expertise in industrial automation systems and grow toward a Controls or Reliability Specialist career path.
 
CMMS Administration Responsibilities
  • Maintain and continuously improve the MaintainX CMMS for all sites — including asset hierarchy, PM scheduling, work order creation, and user management.
  • Audit data accuracy, closeout rates, and compliance with preventive maintenance schedules.
  • Develop reports and dashboards to track key metrics (downtime, completion rates, MTBF/MTTR, etc.).
  • Standardize naming conventions, task templates, and parts lists to ensure cross-site consistency.
  • Train and support site maintenance teams on CMMS usage and best practices.
  • Onboard new vendors into schedules and payment platform
 
Coordination & Communication Responsibilities
  • Collaborate with Facilities Managers and Technicians to ensure timely PM completion and accurate recordkeeping.
  • Support onboarding of new assets and systems during site launches or retrofits.
  • Assist Engineering Manager with document control, asset commissioning records, and preventive maintenance setup for new equipment.
  • Create and maintain organized system for record keeping on base building, regulatory inspection, and utilities
  • Manage spare parts inventory for 3 sites
  • Update project trackers
  • Purchase spares, tools, and project materials
 
Technical & Analytical Growth Responsibilities
  • Learn fundamentals of controls and automation systems to support future integration between CMMS and monitoring tools.
  • Participate in root cause analysis (RCA) reviews to translate findings into actionable CMMS updates.
  • Identify and propose workflow automation opportunities (e.g., automated PM triggers, parts usage tracking).
  • Monitor equipment alarms and faults remotely, dispatch solutions in partnership with RME Leadership and Facilities Management
