Job description

OPERATIONS MANAGER (Adoptions)
Rancho Santa Fe, CA
Salary: $83,000 to $87,000 Full Time (Sunday - Thursday)
The Adoption Operations Manager is responsible for managing operations of a professional, complex, diverse Adoption Department in support of department and management goals. Duties encompass every area of management including policy, client service, facility presentation, facility maintenance, staff and volunteer morale and interdepartmental coordination. Provide leadership and accountability within the Adoption Department utilizing business principles. Will include assessing both physical conditions of the facility as well as systems that allow statistical and business analytic assessments.
Facility and Physical Operations:
Monitor and observe interactions, appearances, animals, staff and volunteer operations for professionalism and properness, including proper use of storage areas, equipment checks, organization and cleanliness of spaces, readiness to open in public areas, respectful team attitudes, adherence to policies and more. Assess changes, implement training or discipline as needed based on your observations.
Reporting, Analysis and Intercompany Support:
Responsible for ensuring department and Center policies and procedures are being consistently followed. Be familiar with department analytics and reporting and put in place processes that support such analysis and reporting, such as: tracking KPI goals, supporting management of animal occupancy goals, communicating to the team and establishing processes that support those goals. Provide recommendations for improvement to our operations
Supervisory: Duties include hiring, mentoring, guiding and counseling direct reports to ensure they are accountable to the standards of the organization. Must be approachable, accessible and strive to improve morale. Mentor and guide managers on budget and report preparation, goal development and monitoring, statistical tracking/analysis, HR/payroll issues and policy enforcement. Ensure operations are run with attention on marketing, statistical analysis and trend review. Provide executive management with analysis and recommendations for efficiency and improvements. Promote teamwork and handle customer service issues professionally and in a timely manner. Speak to workshop groups on our operations. Coordinate certain contracted services with vendor representative.
Position Requirements:
Requires a Bachelor's degree in business, finance, accounting or management or equivalent related work experience. Must have 4+ years proven upper management exp., including problem-solving, employee training, planning, organizing, follow-through, analysis, creativity, morale building, flexibility and have motivational skills. Experience with budgeting, financial reporting, accounting rules and procedures, and human resources issues. Must be highly organized with excellent written and verbal communication skills. Strong customer service and leadership skills. Ability to take charge and react calmly and quickly in a crisis situation. Be well versed in PC software programs, including Microsoft Office and Windows. Information systems familiarity a plus. Animal or animal medical experience a plus.
