We are currently seeking a Per Diem Receptionist. In this role, you will be assisting the Office Manager with all office responsibilities, including set-up and breakdown of meeting spaces, the greeting of visitors, management of the front receptionist desk, and task support to all departments, as needed.

POSITION RESPONSIBILITIES

  • Greet guests and staff warmly while ensuring an efficient reception experience.
  • Answer phones promptly and handle public inquiries accurately.
  • Document all calls and visitors appropriately, referring calls to the right contacts when needed.
  • Support staff with office systems, procedures, and correspondence.
  • Organize office routines and assist with tasks like mail distribution and scheduling.
  • Help create a welcoming environment for meetings, guests, and staff.
  • Manage residential applications, files, intake data, and ensure record accuracy at admission and discharge.
  • Assist with reports and accountability documents for funding sources.
  • Maintain the office calendar, reserve meeting rooms, and update staff contact/travel records.
  • Send birthday cards, inspection notices, and maintain up-to-date staff information.
  • All other duties, as assigned.

POSITION RELATIONSHIPS

Reports to: Office Manager

Supervises: None

POSITION REQUIREMENTS

  • High School Diploma or Equivalent
  • Proficient with Microsoft Office Suite
  • Experience working in an office setting and knowledge of office practices
  • Experience with printers, copiers, postage machine, and office equipment
  • Able to work in a fast-paced environment and act with a sense of urgency
  • Physical Requirements: remains stationary for long periods of time in the office, moves intermittently throughout the office during work hours, reaching overhead, may push or pull 15-20 pounds daily, repetitive wrist/finger movement, read/write reports and use computer on daily basis.

SCHEDULE: Monday-Friday: Mornings (8:30am-12:30pm) and/or Afternoons(12:30pm to 4:30pm)- as neededย 

PAY RATE: $19.00 an hour

LOCATION: Main Office, Islip Terrace, NY
