Job Description
We are looking for a friendly, organized, and proactive Part-Time Front Desk & Office Assistant to support the day-to-day operations of our Redwood City office. This is a hands-on, onsite role responsible for creating a welcoming experience for employees, candidates, customers, and visitors while ensuring the office runs smoothly.
This position is part-time, working onsite three days per week (Monday, Tuesday, and Wednesday).
The ideal candidate enjoys working with people, takes pride in providing excellent customer service, and is comfortable managing a variety of administrative and office support tasks in a fast-paced environment.
Key Responsibilities:
  • Welcome and assist employees, candidates, customers, and other visitors, ensuring a professional first impression.
  • Answer and direct incoming calls and respond to general office inquiries.
  • Manage the front desk and reception area, ensuring it remains organized and presentable.
  • Coordinate candidate interviews, including scheduling, greeting candidates, preparing meeting rooms, and supporting interview logistics.
  • Stock and maintain office kitchens, break areas, conference rooms, ensuring supplies are replenished throughout the day.
  • Order and maintain office, kitchen, and hospitality supplies.
  • Transport and restock kitchen and office supplies across both floors of the office.
  • Assist with meeting and event setup, including catering coordination when required.
  • Receive, sort, and distribute incoming mail and packages.
  • Coordinate outgoing shipments and courier services.
  • Provide general administrative support to HR, Talent Acquisition, and Executive teams as needed, including global scheduling.
  • Assist with onboarding activities and office preparations for new hires.
  • Help maintain office facilities and liaise with building management or vendors when required.
  • Support ad hoc administrative and operational projects as assigned.

  • Previous experience in reception, office administration, coordination, or customer service with a heavy coordination or administrative support.
  • Excellent interpersonal and communication skills (verbal and written).
  • Professional, welcoming, and exceptional customer service-oriented demeanor. Takes pride in creating a welcoming workplace for employees and visitors alike.
  • Strong organizational skills with the ability to prioritize multiple tasks in a collaborative, fast-paced office environment.
  • High attention to detail and reliability. Dependable, proactive and resourceful.
  • Proficient with Microsoft Office
  • Prior experience in global scheduling highly preferred.
  • Comfortable learning new systems and scheduling tools.
  • Ability to work independently while supporting a collaborative team environment with a positive, "can do" attitude.
  • Ability to regularly lift and carry office and kitchen supplies (up to 25 lbs.) and move supplies throughout the office to restock kitchens, conference rooms, and common areas on both floors.
  • Location: Onsite - Redwood City, CA
  • Work schedule: Monday through Wednesday 8am-4pm or 830-430pm PDT (24 hours/week)
