Front Desk Clerk

The Front Desk Clerk serves as the first point of contact for visitors, customers, and employees while providing administrative and facilities support to ensure the office operates efficiently. This position is responsible for front desk reception, office organization, mail distribution, supply management, facilities coordination, and administrative support for multiple departments, including Sales and Accounting.

Essential Duties and Responsibilities

Reception & Administrative Support

  • Greet and assist visitors, vendors, and employees in a professional and courteous manner.
  • Answer and direct incoming telephone calls.
  • Provide general administrative support to various departments as needed.
  • Maintain organized filing systems and perform routine clerical duties, including copying, scanning, and document preparation.

Breakroom & Office Management

  • Clean, organize, and stock employee breakrooms and beverage coolers.
  • Monitor inventory levels of breakroom supplies and replenish as needed.
  • Order, receive, and maintain office supplies while ensuring adequate inventory and cost-effective purchasing.

Mail & Shipping

  • Process incoming and outgoing mail and packages.
  • Distribute mail to appropriate departments and employees.
  • Coordinate shipping and receiving activities with carriers as needed.

Facilities Coordination

  • Assist in overseeing routine building and facilities maintenance.
  • Coordinate service requests with vendors and maintenance providers.
  • Conduct routine inspections to ensure office areas are clean, organized, and operating efficiently.
  • Monitor and document required inspections of fire extinguishers, emergency lighting, and other safety equipment, coordinating maintenance or service when necessary.

Sales & Accounting Support

  • Complete order close-out documentation and assist the Sales Department with administrative processes.
  • Support the Accounting Department by printing, organizing, and distributing invoices and other financial documents.
  • Provide additional clerical support to Sales and Accounting as requested.

Qualifications

  • High school diploma or equivalent required.
  • Previous administrative, receptionist, or office support experience preferred.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Customer service-oriented with a professional and positive attitude.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to lift and carry office and breakroom supplies weighing up to 25 pounds.
  • Frequent bending, reaching, and stocking of supplies.
  • Ability to operate standard office equipment.

Work Environment
