Zanes Law, a dynamic law firm, is seeking a Front Desk Assistant to join our amazing team. We are looking for an individual with a passion for delivering exceptional customer service and a commitment to excellence. The successful candidate will be organized, detail-oriented, self-motivated, and possess effective communication skills. This is a full-time on-site position, Monday through Friday, from 8:00 am to 5:00 pm located at 4580 E Grant Rd, Tucson, AZ.

Responsibilities:

Greet and welcome clients, employees, and visitors to the office, creating a professional and friendly atmosphere

Oversee inventory of office supplies and restock items as needed

Maintain office clean and tidy: lobby, conference rooms, kitchen, copy room, etc.

Monitor and process incoming/outgoing mail, including printing and mailing legal documents

Assist staff in preparing conference rooms for meetings and interviews

Answer questions from clients and visitors to ensure they receive the help they need

Monitor and process faxes and other correspondence between offices

Assist with occasional duties outside of the office, such as going to the post office, courthouse, or any other necessary office errands

Verify case file billings and assist clients with filling out paperwork and scanning documents

Closing of client files via our case management software, Filevine

Perform other duties as assigned by management

Requirements:

1 year of professional office experience

High school diploma or GED required; college degree or enrollment in a current program preferred

Know computer software including Office 365

Excellent oral communication skills and an outgoing personality

Ability to adapt in a fast-paced environment and handle multiple priorities

Elevated level of quality and accuracy with obtaining and documenting information

Able to multitask and learn quickly

Must thrive in a team environment

Reliable and dependable with work schedule

Driver's License and continuous clean driving record, you will be driving our company vehicle

Excellent comprehension and critical thinking skills

Ability to type at least 35 WPM and navigate multiple software applications
