Job description

Summary/Objective
The Medical Records Processor is responsible for processing and fulfilling incoming requests for patient records, including subpoenas and other legal documentation. This position ensures compliance with HIPAA regulations and confidentiality standards, working closely with attorneys, lien companies, and other external requestors. This is an entry-level role with clear pathways to advance within the Medical Records department or transition into other administrative, compliance, or legal support roles within the organization.
Essential Functions
1. Receives, reviews, and validates incoming medical records requests and subpoenas for accuracy and completeness
2. Processes requests in accordance with HIPAA guidelines and company policies
3. Utilizes internal systems, including the medical records portal, billing software, and Radiology Information System (RIS)
4. Reviews and confirms accuracy of relevant records including EHR data, radiology reports, and billing documents
5. Supports Legal Request Specialist in coordinating timely and compliant responses
6. Other duties as assigned.

Job Qualifications
Minimum Qualifications/Experience:
• One plus years of experience in administration or customer service.
• Detail oriented, self-motivated, a problem solver and a team player
• Reliable and dependable regarding scheduled / expected work hours
• Ability to navigate multiple computer screens and browsers quickly and accurately
• Above average knowledge of privacy and HIPAA requirements
Education/Certifications:
• Minimum of High School diploma or equivalent (GED) - continuing education preferred.
