Job description

Job Title: Registrar and Director of Academic Records

Job Status: Exempt

Office Hours: Monday- Friday: 8:00-5:00

Position Summary:

This is a chief administrative position responsible for the operation and development of the Office of Academic Records as a support service to the academic function of the University. Prepares all registration processes, maintains database tables, and oversees online registration. Supports University programs and policies as established by federal, state, administrative, and academic entities. Acts as a central communication resource for academic and policy information related to student records management. Responsible for the maintenance and integrity of academic records. This is a security-sensitive position that reports to the Associate Provost for Academic Affairs.

Essential Duties/Responsibilities:

  • Establishes and maintains an organizational structure to effectively accomplish the OARs goals and objectives.
  • Sets up all registration tables for online registration, maintains database (Banner SaaS) tables, and oversees registration.
  • Prepares grade sheets and final grades for student access online.
  • Enforces academic rules and regulations; monitors academic standing; coordinates probation, and suspension, as appropriate.
  • Provides technical leadership for Banner Student, Degree Works, and implementation of new software and/or changes to software.
  • VA certification and compliance official.
  • Assists in the coordination of graduation and commencement procedures and ceremonies.
  • Maintains students academic records on a permanent basis.
  • Oversees posting student test scores (AP, CLEP, IB and other departmental exams).
  • Recommends and participates in the development and implementation of University policies.
  • Serves as custodian of academic records.
  • Responsible for enrollment and degree reporting to the National Student Clearinghouse.
  • Supervises employees, including participating in hiring and conducting performance evaluations.
  • Develops and processes data reports for the Office of Academic Records and other authorized University personnel.
  • Maintains budgets and budget reports.
  • Serves on committees as requested.
  • Provides professional development, evaluates new technologies, and recommends implementation.

Qualification Requirements:

Bachelors degree required. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skill, and/or ability required to successfully handle this position.

  • Solid understanding of data analysis
  • Ability to manage a budget and work within the constraints of that budget
  • Ability to communicate effectively in both oral and written form
  • Ability to exercise sound judgment in making critical decisions
  • Ability to establish program goals and objectives that support the strategic plan
  • Ability to supervise others
  • Commitment to providing support for student development and success
  • Experience in data reporting
