Job description

Position Summary

The Accounting Assistant supports FSG's billing and finance functions, ensuring that every shipment is invoiced accurately and on time and that accounting records are complete, reconciled, and audit-ready. The role sits at the intersection of operations and accounting and relies heavily on the Magaya logistics platform, https://www.magaya.com/ (which FSG uses for shipments, warehouse receipts, invoicing, and financial records. This is a detail-intensive role in a high-volume, regulated freight-forwarding environment.


Essential Duties & Responsibilities

Billing & Invoicing

  • Generate customer invoices in Magaya, drawing from quotes, warehouse receipts, and shipment records to avoid duplicate data entry
  • Verify charges (freight, handling, storage, customs-related fees) against shipment documentation before invoicing
  • Issue corrected or revised invoices as needed and maintain clear version records


Accounts Receivable & Payable

  • Record incoming payments and apply them to the correct invoices and accounts
  • Monitor outstanding balances and follow up with customers on overdue invoices
  • Assist with accounts payable — reviewing and recording vendor and carrier bills for approval


Reconciliation & Reporting

  • Reconcile carrier and vendor billing — including air carrier CASS statements — against shipment and invoice records
  • Generate financial, open-invoice, and cargo reports from Magaya for management review
  • Support month-end close activities and help resolve discrepancies


Coordination & Records

  • Work closely with the operations team (international and warehouse) to ensure all billable activity is captured
  • Maintain organized, accurate, audit-ready accounting files and documentation
  • Support compliance and audit requests with well-organized records


Required Qualifications

  • Hands-on experience with the Magaya logistics/accounting platform https://www.magaya.com/
  • Prior accounting, bookkeeping, or billing experience (freight forwarding, logistics, 3PL, or customs brokerage strongly preferred)
  • Solid understanding of basic accounting principles (AR, AP, reconciliations)
  • Proficiency with Microsoft Excel
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Authorization to work in the United States


Preferred Qualifications

  • Bilingual English/Spanish
  • Familiarity with freight/logistics terminology (AWB, HAWB/MAWB, warehouse receipts, Incoterms)
  • Exposure to customs or international-trade documentation
  • Associate's degree or coursework in accounting, finance, or a related field
