Job description

Chief of Staff KC is seeking a detail-oriented and organized Merchandising Freight Assistant to support daily merchandising, accounting, and operational activities for a client of ours located in the Russell, Kansas area. This position plays a key role in ensuring the accurate and timely processing of settlements, freight transactions, reconciliations, reporting, and customer/vendor support.


Responsibilities

  • Process freight payments, ticket uploads, and ticket creation on a daily basis.
  • Prepare and complete final settlements accurately and within established timelines.
  • Process daily cash receipts and assist with monitoring outstanding receivables and unapplied cash.
  • Serve as a resource for merchandisers and customers by responding to accounting and settlement-related inquiries.
  • Coordinate with merchandising teams to manage freight schedules, address freight-related issues, and support weekly transportation needs.
  • Maintain and update daily merchandising and operational reports to support business operations and decision-making.
  • Collaborate with internal departments, customers, and vendors to proactively resolve issues and improve processes.
  • Organize and maintain digital records, including invoices, contracts, reports, and payment documentation, in accordance with company retention policies.
  • Review Accounts Receivable, Accounts Payable, Freight Analysis, and other reports to identify discrepancies and ensure timely resolution.
  • Assist with credit applications and support credit review activities.
  • Partner with Merchandising and Accounting teams to support collection efforts and account maintenance.
  • Contribute to process improvement initiatives and the implementation of new technologies and systems.
  • Ensure compliance with company policies, procedures, and internal controls.


Qualifications

  • High school diploma or GED required.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time management skills with the ability to manage multiple priorities.
  • Ability to perform repetitive tasks efficiently while maintaining a high level of accuracy.
  • Strong analytical, mathematical, and problem-solving abilities.
