Job Description
Avantax, Inc. (Avantax), a unique community within Cetera Holdings, is seeking a Financial Support Associate I who will handle all client inquiries and correspondence. This individual will also prepare all client review materials and reports. The Financial Planning Support Associate will assist in the preparation of client asset management, brokerage, and insurance accounts (research or preparing applications), and all administrative duties for assigned Financial Planning Consultants (FPCs). This individual must be an independent, flexible, professional person with the ability to make decisions. He/she must also be a proactive, organized individual with an eye for detail.
What you will do:
  • Prepare and review new account paperwork in an accurate and timely manner.
  • Organize and prepare client review materials, meeting agendas, weekly meeting updates, etc.
  • Serve as a liaison between internal departments to resolve outstanding issues for Financial Planning Consultants (FPCs), Certified Public Accountants (CPAs), and clients.
  • Assist FPCs with ongoing CPA, client, and prospect communication (e.g., the status of new and existing accounts, birthday reminders, cards, and letters).
  • Update and maintain the Client Relationship Management (CRM) database (e.g., data entry, service requests, communication records).
  • Process client requests regarding new contributions and distribution of funds.
  • Communicate regularly with clients through phone and email to provide expedient and accurate information to FPCs and CPAs. These interactions include coordination of meetings, maintenance of account records, important documents, new account setup, transfer of assets, online client access, etc.
  • Assist in training other Financial Service Assistants as needed.
  • Recommend areas for process and procedure improvement to improve office efficiency.
  • Perform other duties as assigned.

What you will have:
  • High school diploma or equivalent required.
  • Associate degree (A.A.), two-year technical, or bachelor's degree preferred.
  • A combination of experience and education will be considered in lieu of a degree.
  • 2-5 years of related Financial Services Industry or administrative services/training experience is preferred.
  • Experience with CRM applications such as Salesforce is preferred.
  • Experience with Microsoft program suite, including Word, Excel, and PowerPoint.
  • Previous experience supporting Financial Professionals is preferred.
  • Previous experience in a customer/client-facing role is strongly preferred.

Certifications:
Financial Paraplanner Qualified Professional (FPQP) designation is a plus
Compensation: The base salary range for this role in Parsippany, NJ is $29.00 - $34.00 plus a competitive performance-based bonus. Base salary depends on a wide array of factors, including but not limited to skill set, years and depth of experience, certifications, and location. Salary range may also differ significantly due to geography and cost of labor considerations
