Job description

Successful, young entrepreneur is looking for an Executive Personal Assistant to help him keep his life on track and flow seamlessly while he is heads down building new ventures. This is an exciting opportunity to be a real right-hand partner. In this role, you'll own his calendar and scheduling, coordinate end-to-end travel, manage financial logistics and expense tracking, interface with accountants, bankers, and vendors, and keep things running smoothly across business and personal priorities. Someone who is genuinely initiative-driven, figures things out independently, and handles everything with the utmost discretion. Ideally has a strong pulse on the startup scene in NY/SF. This is a fully remote role; preference for someone based in SF, NY, or Miami. 120-150K+ DOE + benefits stipend, unlimited PTO.
Responsibilities:
  • Provide dedicated executive, operational, and administrative support to a busy Founder managing multiple business ventures and personal priorities.
  • Manage calendar scheduling, meeting coordination, and day-to-day administrative support across business and personal priorities.
  • Coordinate end-to-end travel arrangements, including flights, hotels, ground transportation, itineraries, and reservations.
  • Serve as a point of contact for vendors, contractors, service providers, and routine partner communications. Interface with accounting, wealth management, and financial advisory teams by gathering documents, fielding requests, and ensuring timely follow-through.
  • Track business operations, including invoicing, expenses, contractor payments, subscriptions, renewals, and reimbursements.
  • Support light financial ops, including bill payments, expense tracking, and coordination of personal financial logistics.
  • Support coordination across business operations, including meeting cadence, follow-ups, and light project management as teams and ventures develop.
  • Document, organize, and improve recurring processes to create structure and keep operations running smoothly.
  • Provide light personal support including appointments, travel, reservations, etc.

Qualifications:
  • 3+ years of experience in an Executive Assistant, Operations, or similar support role. Prior experience supporting an entrepreneur, founder, principal, or executive in a tech or fast-moving environment is preferred.
  • Highly organized, proactive, and resourceful, with the ability to figure out unfamiliar tasks quickly and independently.
  • Strong written and verbal communication skills.
  • Able to learn new systems quickly and use technology to improve organization, communication, and workflow efficiency.
  • Discreet, dependable, and able to handle sensitive personal and business information with the utmost professionalism and sound judgment.
  • Tech-fluent and comfortable using Google Workspace, Notion or similar tools, scheduling platforms, travel tools, and AI tools such as ChatGPT or Claude.
