Job description

Position Overview: The Senior Accounting Manager supports core revenue and accounting operations by overseeing accounts receivable, invoicing, collections, and accurate revenue recognition across multiple systems. Working closely with the Associate Director of Finance, this role contributes to monthly close activities through payroll and benefits entries, reconciliations, investment and endowment accounting, and preparation of journal entries and schedules. The position ensures compliance through timely tax filings, assists with IRS Form 990 preparation, and supports the annual audit and consolidated financial statement process. It also manages key accounting functions for Meadowbrook Farm and oversees PHS's point-of-sale and merchant service platforms. Primary Responsibilities:
  • Manage the accounts receivable, invoicing and collections processes for Controller team revenue.
  • Oversee invoicing, monitor payments and collections for designated PHS revenue streams, including Public Gardens & Landscapes and Flower Show revenue.
  • Accurately and promptly record revenue receipts from various sources-including Ticketure and Stripe-into the PHS general ledger system.
  • Record monthly payroll and benefits expenses in the general ledger; analyze payroll reports from ADP and collaborate with the Human Resources team to reconcile any discrepancies.
  • Record monthly investment and endowment activity; maintain investment unitization schedule.
  • Prepare recurring journal entries and maintain corresponding supporting schedules.
  • Perform monthly account reconciliations between the general ledger and assigned balance sheet and revenue accounts.
  • For PHS's Meadowbrook Farm, record intercompany transactions, process monthly reimbursements, record cash receipts, and complete bank and account reconciliations.
  • Prepare and file applicable sales tax and vendor withholding tax returns.
  • Assist in preparation of the annual IRS form 990 tax returns for PHS and Meadowbrook Farm.
  • Support the management of the annual audit process and preparation of the consolidated financial statements in accordance with generally accepted accounting principles.
  • Oversee PHS's point-of-sale system (Clover) and manage various merchant service accounts.
  • Assume key responsibilities of the Accounts Payable Manager during their absence to maintain essential operations.

Physical Demands: This is largely a sedentary role that requires looking at a computer screen for extended periods of time; however, some physical demands are required. Standard Hours (including travel, evening, and weekend hours): PHS's standard office hours are 9 AM to 5 PM at team member's designated workspace. Some teams and positions work alternate hours because of the nature of their role at PHS. Your Business Unit's Working Norms document will identify alternative hours, if applicable. Flower Show Requirements: Hours preparing for the show and the duration of the show may not follow your regular work schedule. Your Flower Show schedule will depend upon your regular position or your temporary position supporting the Flower Show. You may be required to stand for long periods of time, do extensive walking, and lift up to 25 pounds.
