Job description

Position Summary

The Master Scheduler is responsible for developing, maintaining, and communicating the Master Production Schedule for both the Commercial and Industrial Divisions. This role ensures that customer orders are scheduled accurately, department capacities are respected, and workflows are balanced to achieve on-time delivery.

The Scheduler acts as the central coordination point between Sales, Engineering, and Production teams. By analyzing capacity, applying scheduling rules, and communicating updates, the Scheduler helps optimize resources and maintain efficiency across all production departments.

Responsibilities

Scheduling & Planning

  • Maintain and update the Master Production Schedule for both Commercial and Industrial Divisions.
  • Enter orders into the scheduling system and assign jobs based on departmental capacity.
  • Apply division-specific scheduling rules for Custom, Stock, Service, and Systems orders as defined in each division's Scheduling Policy.

Capacity Management

  • Monitor weekly and monthly production capacity across all departments.
  • Compare order demand against available resources to identify overages or bottlenecks.
  • Escalate conflicts to Division Managers for resolution.

Order Prioritization

  • Apply Commercial and Industrial Division scheduling rules to balance production.
  • Escalate urgent or high-value orders to Division Managers for approval.
  • Ensure "Stock Units" in Job Tracker are scheduled according to policy.

Schedule Communication

  • Publish updated production schedules weekly (by Friday at 3:00 PM).
  • Communicate bottlenecks, risks, and adjustments to department leads and managers.
  • Provide mid-week updates for rush orders, rework, or delays.

Documentation & Compliance

  • Ensure exceptions, escalations, and emergency jobs are properly logged with justification.
  • Follow all procedures outlined in both the Commercial Division and Industrial Division Scheduling Policies.
  • Reference capacity limits and guidelines as defined in each division's policy (not maintained within this job description).
  • Support annual policy reviews by providing data, analysis, and recommendations.

Continuous Improvement

  • Collaborate with Division Managers and department leads to refine scheduling processes.
  • Identify recurring issues and recommend solutions for greater efficiency.

Qualifications

Required

  • 3+ years of experience in production scheduling, operations planning, or manufacturing coordination.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in scheduling software, ERP systems, and Microsoft Office Suite.
  • Ability to analyze production data, capacity, and resource utilization.
  • Strong communication skills to coordinate across teams.
  • Ability to work effectively in both office and production floor environments.

Preferred

  • Experience with engineered-to-order (ETO) or build-to-order (BTO) environments.
  • Familiarity with Infor XA or other ERP systems.
  • Background in fabrication, assembly, or industrial equipment production.
  • Lean manufacturing or scheduling-related certifications.

Work Environment

This position requires a presence in both office and production environments. The Master Scheduler must be comfortable working at a computer to manage schedules, as well as walking the production floor to interact with department leads and monitor workflow. PPE (Personal Protective Equipment) may be required in certain areas of the facility. Occasional interaction with Sales may occur when aligning delivery timelines with production schedules and answering customer needs.
