The Opportunity

As Embry-Riddle Aeronautical University launches its second century of aviation and aerospace excellence, we are seeking a highly organized and student-focused professional to join our Flight Operations team. This role plays a critical part in supporting the success of more than 1,200 flight students while ensuring full compliance with FAA Part 141 regulations and university standards.

The Flight Records Registrar & Lead Analyst serves as a key connection point between Flight Operations, Scheduling, and the Office of the Registrar to help maintain seamless student progression from enrollment through certification. This position combines records management, operational coordination, compliance oversight, and student support to ensure accurate training documentation, efficient scheduling alignment, and exceptional service throughout the student flight training experience.

Primary Functions

  • Flight Registration, Scheduling Coordination & Student Success

  • Coordinate flight course registration and FACR alignment in partnership with Scheduling and the Office of the Registrar.

  • Serve as a liaison between Flight Operations and the Registrar's Office to support student enrollment, course setup, and term readiness.

  • Support efficient student progression by helping align training schedules, operational resources, and academic requirements.

  • Assist with onboarding activities including orientation, flight check-in, and student readiness processes.

  • Collaborate with operational teams to identify and resolve scheduling or progression challenges impacting student throughput.

  • Flight Records Management & FAA Compliance

  • Maintain, audit, and manage student flight training records to ensure compliance with FAA Part 141 regulations and university standards.

  • Verify the accuracy and completeness of course completion records, flight training data, student identity documentation, eligibility requirements, and certification records.

  • Prepare and validate documentation related to FAA Form 8710 applications, temporary and permanent airman certificates, and graduation or course completion certifications.

  • Organize and maintain documentation required for FAA, TSA, internal, and external audits.

  • Serve as an FAA testing proctor and support audit preparation and compliance activities.

  • Student Support & Operational Coordination

  • Provide front-line support to students, instructors, and staff regarding registration, scheduling coordination, and certification requirements.

  • Conduct one-on-one student support sessions related to FAA application completion and student progression concerns.

  • Partner with Scheduling, Training, and departmental leadership to resolve operational conflicts and improve training flow.

  • Supervise and support student workers while assisting with training related to records management, certification processes, and FAA compliance procedures.
