Summary:

The Operations Assistant โ€“ Flight Scheduler (19 FS) will support the PACAF Aviation Squadron Administrative Support for the US Air Force.ย 


Responsibilities

Essential Job Functions:

  • Shall build long-and short-range flight schedules to ensure full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions. Coordinate with senior squadron leadership on a daily and weekly basis.
  • Directly support squadron flying operations by building, publishing, and maintainingย the daily and long-range flying schedules to maximize pilot/aircrewย utilization, ensure mission readiness, andย maintainย strict compliance with Air Force Instructions (AFIs) and squadron leadership priorities.ย 
  • Contractor will de-conflict crewmember schedules and work with flight leadership to ensure crews are available to meet assignedย sortieย taskings.ย 
  • Facilitate last-minute schedule changes to ensure full coverage by working with the current mission commander/operations supervisor (or equivalent) and flight responsible for the shift that is not fullyย manned.ย 
  • Coordinate with internal and external agenciesโ€”including Airfield Operations, Maintenance, Weather, and external ranges/airspace controlling agenciesโ€”to deconflict daily flying schedules, secure training resources, and accommodate short-notice mission changes.ย 
  • Shall obtainย aircraftย and equipment availability data from MX and schedule crewmembers for training, exercises, simulators, and operations, asย required.ย 
  • Shall publish/post scheduling data for unit long-/short-range ground/academic, flying, and simulator training event schedules on PEX/GTIMS/GDSS II, or other computer database systems.
  • Maintain precise operational, scheduling, and training data within government-mandated systems (e.g., PEX, GTIMS, or GDSS) to accurately track aircrew currencies, ground training requirements, and duty-day limitations.ย 
  • Shallย determineย flight, ground, and simulator schedule requirements for upgrade, initial qualification, requalification, transition, currency, and continuation training based on syllabus requirements, student progression, weather, and daily equipment/training range availability.ย 
  • Perform daily updates of scheduling data to compensate for changing conditions and training completion rates.
  • Assistย operations leadership (DO/ADOs) with schedule-related reporting and metrics, providing daily and weekly tracking of continuation training progress, execution rates, and aircrew readiness toย facilitateย rapid decision-making.
  • Perform other mission-essential scheduling and administrative duties as requiredย to adapt to dynamic, high-tempo flying operations and support overall squadron management.ย 
  • Performย otherย dutiesย asย needed.ย 

Secondaryย Keyย Responsibilities-ย 

Standardization/ย Evaluation:ย 

  • Updateย andย maintainย FLIP/EFBย procedures,ย systemsย andย databasesย IAWย prevailingย AFIs governing EFB usage (ex. ACCI 11-270).ย 
  • Identify,ย address,ย andย elevate,ย asย necessary,ย EFBย requirementsย andย concernsย toย leadership and the MAJCOM EFB Program Manager.ย 
  • Serve as the Wing EFB system administrator, ensuring devices are configured, issued, tracked,ย updated,ย andย maintainedย asย requiredย byย thisย instruction.ย Mayย alsoย serveย asย the Wing EFB Mobile Device Management (MDM) administrator.ย 
  • Assistย theย Technicalย Orderย Distributionย Officersย (TODO)ย toย provideย aircrewsย withย current electronic flight publications and guidance on approved methods to keep all required publications up to date on the EFBย in accordance withย this instruction.ย 
  • Provideย theย MAJCOMย EFBย Programย Managerย withย feedbackย onย operationalย assessments and development of EFB solutions.ย 
  • Assistย withย establishingย anย EFBย Programย Managerย organizationalย emailย box.ย 
  • Assistย enforcementย ofย standardizationย andย evaluationย policyย applicableย toย theย EFBย program, including currency of required flight publications.ย 

Training:ย 

  • Shall keep track whenย crew membersย will be on leave, temporary duty, have scheduled medical appointments or other scheduling commitments.ย 
  • Shall track daily flight/ground/academic training requirements and accomplishments toย facilitateย accurateย flight scheduling as directed by the operations officer.ย 
  • Shallย assistย the DO in building the unit Annual Flying Hour Program.ย 
  • Shall coordinate with training officer to review and update student/permanent party records,ย foldersย and grade books per the applicable AFIs: AFI 11- 202V2 and AFI 11-2MDS-V2 as well as associated MAJCOM/Installation supplements, and locally developed guidance.ย 
  • Shall notifyย crew members, scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements via e-mail, telephone or in person.ย 
  • Shall perform testing administrator duties/function for the unit.ย 
  • Conduct monthly reviews of those aircrewsย entering intoย the first month of evaluation eligibility period.ย 

Qualifications

Necessary Skills and Knowledge:

  • Proficiency in scheduling software and systems. Strong MS Office skills.
  • Excellent verbal and written communication skills to interact effectively with crew members and internal teams.
  • Strong attention to detail and ability to multitask in a dynamic, high-pressure environment.
  • Ability to think critically and make decisions quickly, especially in time-sensitive situations.

Minimum Qualifications:

  • Minimum 1 -2 years of related experience
  • Must have a Secret clearance
  • US citizen
  • Ability to travel.

Preferred Qualifications:

  • Possesses a Top Secret clearance.
  • Experience working with PEX/GTIMS or similar proprietary scheduling program is highly desirable.
  • Experience working in a Flying Squadron/Group/Wing Stan/Eval office is highly desirable.
