Job Summary:

As the Fleet Rental Coordinator, you will ultimately be responsible for managing the full lifecycle of rental equipment, optimizing rental utilization, and supporting cost-effective fleet operations across Congruex. You will coordinate rental activities across multiple regions, ensure compliance with fleet processes, and deliver accurate reporting that supports operational efficiency. As the Fleet Rental Coordinator, your customers are Fleet leadership, field operations, project teams, procurement, and rental vendors, and you will make meaningful contributions to the company's success through operational excellence, cost control, and fleet optimization.

Key Responsibilities (Including, but not limited to):

  • Manage the complete lifecycle of rental equipment, including request intake, sourcing, delivery, utilization tracking, and return
  • Coordinate daily rental requirements across multiple regions to support field operations
  • Monitor active rentals and proactively drive timely equipment returns to minimize rental costs
  • Enforce internal rental processes, including approvals, job coding, and documentation requirements
  • Prioritize utilization of internal fleet assets before securing external rental equipment
  • Track and report rental duration, utilization, overdue equipment, and fleet performance metrics
  • Identify and escalate overdue or underutilized rental equipment to project teams and leadership
  • Drive accountability across field and project teams to ensure compliance with rental policies
  • Establish and monitor key performance indicators (KPIs) related to rental utilization and cost control
  • Ensure consistent utilization of Congruex's preferred rental partners and identify non-compliant rental activity
  • Support Procurement in maintaining national pricing agreements and vendor relationships
  • Serve as the primary point of contact for rental vendors, resolving delivery, billing, and equipment quality issues
  • Maintain accurate, real-time rental equipment records within fleet management systems
  • Provide centralized visibility into rental activity across all operating regions
  • Ensure rental equipment meets company safety and operational standards before deployment
  • Analyze rental spend, utilization trends, and vendor performance to identify cost-saving opportunities
  • Review and reconcile rental invoices for accuracy and compliance with negotiated pricing
  • Coordinate with Fleet Maintenance and Operations to ensure equipment readiness and efficient dispatch
  • Promote and uphold Congruex safety standards throughout all fleet rental activities
  • Additional responsibilities within functional scope based on business needs

Required Qualifications:

Education, Licensing, and Certifications

  • High school diploma or equivalent required
  • Associate's or Bachelor's degree in Business, Construction Management, Logistics, or a related field preferred
  • Valid driver's license preferred

Experience

  • 2–4 years of experience in equipment rental coordination, fleet management, construction coordination, or a related field
  • Telecommunications or utility construction experience preferred
  • Working knowledge of construction equipment including aerial lifts, trenchers, excavators, trailers, loaders, and backhoes
  • Experience working with fleet management systems or enterprise resource planning (ERP) software preferred

Skills and Abilities

  • Strong ownership and accountability with the ability to drive results across multiple teams and regions
  • Strong analytical skills with the ability to interpret operational and financial data
  • Ability to enforce processes and drive compliance in a fast-paced, decentralized environment
  • Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously
  • Strong communication, customer service, and vendor negotiation skills
  • Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word
  • Experience with Fleetio, Motive, or similar fleet management software preferred
  • Strong attention to detail with a commitment to maintaining accurate records
  • Knowledge of DOT, OSHA, and company fleet safety standards
  • Ability to research equipment requirements and communicate recommendations to field leadership

Preferred Qualifications:

  • Associate's or Bachelor's degree in Business, Construction Management, Logistics, or a related field
  • Experience supporting telecommunications, utility, or infrastructure construction operations
  • Experience managing national rental vendor relationships
  • Experience with Fleetio, Motive, or other fleet management platforms

Physical Requirements:

  • Ability to lift up to 25 lbs.
  • Ability to work primarily in an office environment with occasional visits to job sites and equipment yards
  • Ability to work in a fast-paced, deadline-driven environment
  • Ability to travel domestically as business needs require
