General Summary:

We are seeking a detail-oriented Purchasing Administrative Assistant to support our Shop Manager in streamlining procurement and administrative operations. This role will be responsible for sourcing and purchasing materials for the Fire Protection department, obtaining vendor estimates, and maintaining accurate records of orders and inventory.
The ideal candidate will coordinate delivery schedules, manage tool purchasing and tracking, and ensure efficient material flow to support shop operations. Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment are essential for success in this position.
Key Responsibilities:
  • Request and obtain estimates from vendors for materials required by the Fire Protection shop.
  • Purchase materials and supplies in accordance with project specifications and budget requirements.
  • Track and monitor order status from placement through delivery to ensure timely receipt.
  • Log and document all received materials in inventory management system.
  • Schedule and coordinate material deliveries with vendors and internal teams.
  • Manage tool purchasing process, including vendor selection and cost comparison.
  • Maintain comprehensive tracking system for all tools and equipment acquisitions.
  • Performs other duties and responsibilities as assigned.

Requirements
Knowledge, Skills and Abilities Required:
  • Strong mechanical aptitude with basic math skills; high school diploma or GED required.
  • Experience working in a shop environment or related field preferred.
  • Prior forklift experience preferred.
  • Knowledge of inventory management procedures.
  • Excellent organizational and communication skills, both verbal and written.
  • Proficiency in basic computer skills required.
  • Ability to work in a team environment and maintain positive relationships with colleagues and vendors.

Description of Physical Working Environment:
  • Continuous standing, walking, and lifting required with frequent twisting, bending, and turning.
  • Ability to climb ladders and steps and lift materials up to 75 pounds on a regular basis with or without reasonable accommodation.
  • Works in a normal office/shop environment.
  • Regularly works from a sitting position with a computer; repetitive typing and computer use required.
