The State of New Hampshire, Department of Safety, Division of Fire Safety, has a part-time vacancy for Fire Marshal's Office Administrative Assistant (Program Assistant II), SOC Title 43-6010 ADMIN ASSTS-4. This position is part-time, cannot exceed 29.5 hours per week and does not offer health insurance benefits.
Summary:
Provides comprehensive administrative, operational, and logistical support to the Division of Fire Safety, Fire Marshal's Office.
YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education.
Minimum Qualifications:
Education/Experience: Equivalent combination of 3 years of education and experience after completion of high school. Education and experience must be in business administration, public administration, office or business management.
License/Certification: None
Other Requirements: Must pass a fingerprint based criminal background check and motor vehicle record check in order to ensure suitability for exposure to confidential information.
Trainee Option: Candidates with an equivalent combination of 2+ years of relevant education and experience after completion of high school may be considered and hired in 'trainee status' for this position.
PREFERRED QUALIFICATIONS: Notary Public/Justice of the Peace certification is helpful when dealing with certain legal matters for in-house services.

Responsibilities:
Organize, prepare, and facilitate meetings, training, inspections, and organizational events by coordinating logistics, preparing agendas, and distributing relevant materials to stakeholders.
Maintain organized, up-to-date records, files, and documentation, including compliance reports, transfer activities, and official records, ensuring accessibility for audits and reviews.
Support regulatory compliance by assisting with the preparation, review, and timely submission of required reports, forms, and documentation in accordance with departmental policies and regulations.
Provide comprehensive administrative support by managing and maintaining accurate schedules, calendars, and correspondence to ensure the efficient daily operations of the Fire Marshal's Office.
Manage procurement processes and inventory control for office supplies, materials, and event resources, ensuring availability and cost-effectiveness.
Coordinate communication flows among division staff, external agencies, and stakeholders by serving as a point of contact, disseminating information, and responding tactfully to inquiries.
Facilitate logistical arrangements for staff travel, accommodations, and transfer activities, ensuring seamless coordination and adherence to organizational protocols.
Conduct moderate research and problem-solving related to program activities, transfer logistics, and administrative issues to support decision-making and operational efficiency, recommends operational improvement.
Document meeting minutes, support activities, and key discussions accurately, maintaining detailed records for transparency, accountability, and compliance purposes.
Exercise sound judgment and independent initiative within established guidelines to prioritize tasks, influence workflow, and support ongoing division activities and communication efforts.
