What You'll Do

Office & Administrative Operations

  • Manage the day-to-day operations of the corporate office.

  • Serve as a primary point of contact for office visitors, vendors and employees.

  • Coordinate office supplies, kitchen and housekeeping supplies, mail and postage.

  • Maintain office calendars and prepare weekly office communications.

  • Coordinate meetings, lunches and other office activities.

  • Coordinate office maintenance, repairs and service providers.

  • Manage correspondence, documents and general office records.

  • Support corporate Operations, Accounting, HR and other departments.

  • Assist with job postings and other administrative projects.

  • Maintain an organized, professional and welcoming office environment.

Accounts Payable & Accounting Support

  • Enter and process corporate invoices and assist with property invoices.

  • Maintain accurate vendor information and records.

  • Review invoices for accuracy and investigate discrepancies.

  • Reconcile vendor statements and resolve payment-related issues.

  • Coordinate recurring check runs and payment processes.

  • Verify ACH payments and supporting documentation.

  • Assist with payroll-related administrative and payment activities.

  • Provide administrative support to the Accounting and Payroll teams.

What We're Looking For
  • 2+ years of hands-on Office Management or Office Administration experience.

  • Experience managing the day-to-day operations of a professional office.

  • Previous Accounts Payable, invoice processing or accounting support experience preferred.

  • Strong vendor coordination and organizational skills.

  • Excellent attention to detail and follow-through.

  • Strong communication and customer service skills.

  • Ability to prioritize multiple responsibilities in a fast-paced office environment.

  • Strong proficiency with Microsoft Excel, Word and Teams.

  • Comfortable working independently while supporting multiple departments and team members.

  • Ability to work on-site in Fishers, Monday-Friday, 8:00 AM-5:00 PM.

Preferred Backgrounds

Experience in any of the following environments is a plus:

  • Law firm / legal office

  • Banking / financial services

  • Accounting / CPA firm

  • Insurance

  • Real estate / escrow

  • Healthcare / medical office

  • Professional services

  • Corporate office

  • Property management

  • Hospitality corporate office

Hotel or hospitality experience is welcome but not required.

Preferred Qualifications
  • Accounts Payable experience

  • Vendor management experience

  • Invoice and payment processing

  • Reconciliation experience

  • Payroll administration exposure

  • Notary commission or willingness to obtain one

  • Experience with accounting or property-management systems is a plus
