Role description:  

Arcadis is seeking a Project Administrator to support a major key account, providing financial support and coordination for multiple project managers. The successful candidate will demonstrate a strong desire to learn and grow alongside Project Managers, Program Managers, and the financial team. They will be highly organized, professional, and effective in communicating with internal team members across a variety of tasks and projects. This individual must be able to manage multiple priorities simultaneously, work both independently and collaboratively, and provide mentorship to junior staff.

This position provides a wide variety of administrative, financial and staff support services at a team level. The position performs multiple related tasks and applies administrative procedures to resolve problems which may be non-routine in nature.

Role accountabilities:

  • Financial management support of projects for multiple project managers, program managers, and financial teams 
  • Provide and analyze financial project metric reports for project managers (revenue, profitability, etc.)
  • Take proactive role in monitoring and evaluating existing project management processes to identify opportunities and provide advice for the improvement of processes and systems
  • Set up new projects and update project forecasts in the project management tools (Oracle)
  • Budget monitoring and project performance evaluations
  • Track and resolve financial issues for project teams
  • Invoicing support - work with project managers to ensure client invoices are prepared monthly and sent each month.
  • Prepare documents associated with client billing related to client contracts.
  • Tracking Accounts Receivable and unbilled with follow up to accounting and project managers as needed
  • Financial support during project audits and project reviews
  • Preparation, tracking, communication, and obtaining purchase orders and subcontracts
  • New client and vendor setups 
  • Participate in monthly project reviews with Finance Managers and Project Managers.
  • Be responsible for training, mentoring and professional development of junior staff

Qualifications & Experience:

  • Minimum qualifications: 5 years of relevant experience, including financial management of projects
  • Education required: High School diploma with equivalent work experience in finance or accounting 

Special considerations, specific technical experience, skills, etc. include: 

  • Strong computer skills including a high level of competence with Excel, Outlook, and Word.
  • Strong written and verbal communication skills with a variety of audiences both internal and external.
  • Strong time management and organizational abilities, with the capability to work effectively under time constraints, prioritize tasks, and manage multiple projects and responsibilities simultaneously
  • Self-motivated and proactive, with the ability to work independently
  • Excellent analytical skills with keen attention to detail
  • Strong proof reading and basic research skills

Preferred qualifications: 

  • Education preferred: Bachelor's in finance or accounting or equivalent years of experience
  • 5 or more years of experience
