Accounts Payable and Advisor Commissions Specialist

The Accounts Payable and Advisor Commissions Specialist is responsible for the accurate, timely and efficient processing of accounts payable transactions and commission payments, employee expenses, and related general ledger activities. This role ensures vendor and client obligations are met in accordance with company policies, internal controls, and regulatory requirements, while supporting month-end close and audit processes.

Responsibilities:

  • Invoice and Payment Processing

    • Review, verify, code, and enter vendor invoices and expense claims, ensuring accuracy, authorization, and proper documentation.

    • Schedule and process payments in accordance with agreed terms.

    • Monitor accounts payable workflow to support timely processing and issue resolution.

  • Vendor and Internal Coordination

    • Respond to vendor inquiries and resolve invoice or payment discrepancies.

    • Maintain vendor data and coordinate with internal departments to confirm charges and obtain approvals.

  • Reconciliation and Recordkeeping

    • Reconcile accounts payable subledger to the general ledger.

    • Reconcile vendor statements and investigate variances.

    • Ensure payment credits and adjustments are applied correctly.

    • Maintain organized and auditable AP records, continuities and documentation.

  • Expense Management

    • Review and process employee expense reports in line with company policy.

  • Month-End and Compliance Support

    • Assist with month-end close activities, including accruals and reporting.

    • Support internal and external audits by providing required documentation.

    • Ensure compliance with financial policies, internal controls, and applicable tax requirements.

  • Advisor Commission Administration

    • Administer manual commission payments, including preparation, validation, remittances, documentation, and payments outside scheduled cycles.

    • Prepare advisor commission expense reports, including carrier-related tracking and reconciliations.

    • Maintain records of manual adjustments and payments for audit readiness.

  • Engage in actions that encourage, reflect and align with PPI's ESG (Environmental, Social and Governance) commitments to our advisors, their clients and our employees.

  • Support other finance-related duties and projects as required.

Job Knowledge / Work Experience:

  • Minimum 3 to 5 years of experience in an accounts payable role

  • Experience in insurance commissions or financial administration, with strong comfort working with financial data

  • Knowledge of MGA life insurance commission structures and processes is an asset

  • Exemplary data entry skills with advanced knowledge and experience with Excel

  • Experience with an accounting ERP like Microsoft Dynamics Great Plains or similar

  • Experience with manual payments and reconciliations

  • Excellent organizational and time management skills

  • Client service orientation

  • Excellent written and verbal communication skills

  • Proven ability to build collaborative working relationships with stakeholders

  • Proven excellent attention to detail

  • Ability to work independently while being committed to functioning as a team player
