Job description

Position Overview

Glass Eye Studio is seeking a highly organized Office Manager responsible for the day-to-day financial administration and operational recordkeeping of the company.

This role combines bookkeeping, accounts payable, accounts receivable, inventory reconciliation, consignment management, and administrative operations. The Office Manager will be responsible for maintaining accurate financial and inventory records, ensuring timely reconciliations, coordinating monthly consignment reporting, and serving as a key administrative resource for ownership.

The ideal candidate enjoys working with numbers, identifying discrepancies, maintaining accurate records, and creating organizational systems that help a business operate efficiently.

This is a hands-on role within a small business environment where accuracy, accountability, initiative, and attention to detail are essential.

Primary Responsibilities

Bookkeeping & Financial Administration

  • Perform day-to-day bookkeeping in QuickBooks Online.
  • Enter and maintain accurate financial records.
  • Manage accounts payable, including vendor invoices, payment scheduling, and vendor communications.
  • Manage accounts receivable, customer invoicing, payment tracking, collections follow-up, and account reconciliation.
  • Reconcile bank accounts, credit card accounts, deposits, and other balance sheet accounts.
  • Record inventory adjustments and financial transactions accurately.
  • Maintain organized financial records and supporting documentation.
  • Prepare monthly reports and reconciliations for management review.
  • Coordinate with outside accounting and tax professionals as needed.
  • Support intercompany accounting, invoicing, and recordkeeping across related entities.

Consignment Inventory Management

  • Serve as the primary administrator of the company's consignment program.
  • Maintain accurate records of inventory placed with consignment partners.
  • Coordinate monthly inventory and sales reconciliations with each consignment account.
  • Follow up with partners regarding missing reports, inventory counts, sales data, and payments.
  • Reconcile partner reports against internal inventory records, Shopify records, and accounting records.
  • Investigate discrepancies and work toward timely resolution.
  • Track inventory sold, returned, transferred, and currently on hand at partner locations.
  • Produce regular reporting regarding consignment inventory and account performance.

Inventory Reconciliation & Reporting

  • Monitor inventory movement across production, warehouse, retail, wholesale, e-commerce, and consignment channels.
  • Perform regular inventory audits and reconciliations.
  • Identify and investigate inventory variances.
  • Assist in maintaining accurate inventory records within Shopify and related systems.
  • Create and maintain inventory reporting for management.

Administrative Operations

  • Maintain contracts, permits, licenses, insurance certificates, and corporate records.
  • Coordinate payroll documentation and employee recordkeeping.
  • Maintain organized digital and physical filing systems.
  • Assist with operational projects and administrative initiatives.
  • Support ownership with reporting, documentation, and organizational projects.

Required Qualifications

  • Minimum 3 years of bookkeeping, accounting, office management, or financial administration experience.
  • Demonstrated responsibility for full-cycle accounts payable and accounts receivable.
  • Experience performing account reconciliations and maintaining financial records.
  • Experience using QuickBooks Online or comparable accounting software.
  • Strong spreadsheet proficiency, including data organization, filtering, formulas, and reconciliation work.
  • Excellent organizational and recordkeeping skills.
  • Ability to manage multiple priorities with a high degree of accuracy.

Preferred Qualifications

  • Shopify experience.
  • Inventory accounting or inventory management experience.
  • Consignment inventory management experience.
  • Small business bookkeeping experience.
  • Manufacturing, wholesale, retail, or e-commerce experience.
  • Experience working across multiple software platforms and databases.

  • Spreadsheet reporting and analysis.
  • CRM, project management, or inventory software.
  • Cloud-based document management systems.
