Job Purpose
The Mail and File Management Specialist provide mailroom operations, file management, records support, and administrative assistance in a professional office environment. This position supports incoming and outgoing correspondence processing, records organization, distribution activities, and office administrative functions while ensuring efficient information flow throughout the organization.
Responsibilities:
  • Receive, review, sort, log, and distribute incoming mail, courier packages, faxes, and electronic correspondence.
  • Process outgoing mail, express shipments, and courier deliveries in accordance with organizational procedures.
  • Maintain correspondence logs, shipment records, tracking information, and filing systems.
  • Organize, scan, copy, label, file, and maintain electronic and hard-copy documents and records.
  • Support records management and file retention activities.
  • Ensure mailroom and copier/workroom areas remain stocked, organized, and operational.
  • Monitor office supply inventories and coordinate replenishment requests.
  • Maintain filing systems and assist with records retrieval and archiving activities.
  • Support conference room and training room setup activities as needed.
  • Provide general administrative support including data entry, document preparation, filing, and customer service.
  • Assist with document distribution and information dissemination activities.
  • Coordinate with internal staff regarding mail delivery discrepancies and document processing issues.
  • Maintain professionalism and confidentiality when handling sensitive information.
  • Perform additional administrative and operational support duties as assigned.
Requirements:
  • High School diploma required; higher education preferred.
  • Minimum of one (1) to three (3) years of experience in mailroom operations, records support, administrative support, or related office functions.
  • Experience handling incoming and outgoing mail, shipping, and package tracking.
  • Experience maintaining records, filing systems, and administrative logs.
  • Experience with general office administrative support and customer service.
  • Proficiency with Microsoft Office Suite and office equipment.
  • Strong organizational, communication, and multitasking skills.
  • Ability to prioritize work and manage multiple assignments effectively.
  • Ability to maintain accuracy and attention to detail.
  • Physical ability to move files, file boxes, mail bins, and packages.
  • Must have an active Secret Clearance
