Job description

Job Title

The purpose of this position is to maintain accessible records and provide efficient service to the public and legal entities. Performs duties related to the receipt, intake, scanning, indexing, quality control, and transfer of District Clerk records. Works within a well-defined framework of policies and procedures.

Essential Job Functions
  • Maintains quality control standards for all digital imaging and processing
  • Prepares documents for scanning by ensuring they are unstapled and have no folds
  • Audits integrity of each scanned document to ensure image is clearly displayed
  • Identifies incorrect case management information and makes necessary corrections
  • Coordinates file requests and transfers with the County Archives department.
  • Reviews, sorts, assembles and organizes materials; routes and delivers daily mail and documents to appropriate parties
  • Collaborate with archives and other departments
  • Regular attendance and timeliness is required
Minimum Requirements

Education: High School Diploma or GED

Skills ~ Experience: Required:

  • Possess thorough working knowledge of clerical procedures
  • Must be able to type and perform data entry
  • Ability to accurately sort, file, and retrieve material using alphabetical, numerical, or chronological systems
  • General skill in operating standard office equipment such as personal computers, calculators, and telephones
  • General knowledge of basic hardware and software and uses of a variety of different computer operating systems such as Microsoft Office Work, Excel, Outlook
  • Exceptional skill in establishing and maintaining effective working relationships with County staff
  • Must also be personally bondable
  • Must be a self-starter and able to accomplish expected tasks under minimal supervision

Preferred: 1 year experience in a clerical field

Physical Demand Requirements:

  • While performing the duties of this job, the employee is regularly required to talk or hear
  • The employee frequently is required to stand. The employee is occasionally required to walk; sit; use hands to find, handle, or feel objects, reach with hands and arms; stoop and kneel
  • Must be able to safely lift 20 lbs.

Hours / Special Conditions: Regular schedule is 8 a.m. to 5 p.m., Monday through Friday. This position may be required to work a flexible schedule based on the needs of the facility.
