Job Overview:

As our Property Management Admin Assistant, you are a highly organized and detail-oriented professional who serves as the backbone of our daily commercial and residential office operations. You bring a strong suite of office administration and computer skills to the team, allowing you to manage multiple priorities with ease. Beyond your technical abilities, you excel at building positive tenant relationships and take pride in ensuring a high level of satisfaction across all our properties.
Key Responsibilities:

  • Office Coordination & Support: You provide essential day-to-day administrative and clerical support to the property management team. You manage daily office operations, including handling correspondence, maintaining digital and physical filing systems, and performing general duties such as scanning, copying, mailing, and supply management.
  • Communication Hub: You serve as the primary point of contact for tenants. You answer and direct phone calls and emails professionally, ensuring all stakeholders receive timely and helpful responses to their inquiries.
  • Compliance & Data Management: You ensure organizational compliance by collecting and properly filing required documents. You also accurately input and update lease information, maintenance requests, and tenant records within our management database.
  • Scheduling & Logistics: You take the lead on coordination by scheduling maintenance appointments and move-in/move-out inspections
  • Administrative Accuracy: You prepare, format, and distribute notices, lease agreements, reports, and internal documents with a high level of accuracy and detail.
Required Skills & Experience:

  • Superior Organization: Proven ability to manage multiple projects at once and meet deadlines with ease.
  • Advanced Computer Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and a high level of comfort learning new software and platforms.
  • Communication Excellence: Strong written and verbal communication skills with a focus on professional customer service.
  • Proactive Problem Solver: A self-starter who can anticipate office needs and tackle challenges independently, including the ability to remain calm and professional when resolving concerns with unhappy tenants."
  • Education: High School Diploma required; Certificate or Bachelors degree preferred.
  • Valid class 5 license and a vehicle is required.
  • Ability to handle emergencies and on-call situations.
Preferred Assets:

  • Previous experience in Property Management or Real Estate.
  • Familiarity with property management software.
  • Knowledge of local housing laws.
  • Experience with Rent Manager considered a strong asset.
