Stenograph LLC is a world leader in the court reporting industry and has been in business for 85 years.  Stenograph provides a full suite of products and software for dictation and transcription applications. The company offers shorthand writing machines and computer-aided transcription software for the information technology needs of the court reporting and captioning communities. The company also provides training materials and professional development courses for students and court reporting professionals. The company markets its products through its sales force and distributors in the United States and internationally. 

Stenograph is solely owned by The Heico Companies, LLC, a privately held, $2.5B revenue company that specializes in acquiring distressed assets, improving their performance, and holding them for the long term. The Heico Companies manages diverse businesses through four platforms: Metal Processing, Construction, Ancra, and Pettibone. 

The Position

The File Processing Coordinator is an entry-level position responsible for completing routine computer-based file processing and quality-control tasks. The role requires the ability to follow established procedures, work accurately, and remain focused while completing repetitive assignments.

The primary responsibilities of this position are structured and task-oriented. During periods of lower workload, the employee may also receive training on additional administrative and technical support department functions. This provides an opportunity to develop new skills, assist the department in a limited capacity, and potentially prepare for future opportunities within the organization.

No previous industry experience is required. Training will be provided.

Job Description

Essential Duties and Responsibilities

  • Complete assigned computer-based file processing tasks accurately and efficiently.
  • Perform routine quality-control reviews to verify the accuracy of completed work.
  • Follow documented procedures and department standards.
  • Identify and report errors, inconsistencies, or files requiring additional review.
  • Track completed assignments using the provided software or internal systems.
  • Maintain productivity and attention to detail while performing repetitive tasks.
  • Communicate questions, issues, or unusual circumstances to a supervisor.
  • Participate in cross-training for additional support department duties as workload permits.
  • Assist with basic departmental tasks when trained and assigned.
  • Perform other related duties as needed.

Minimum Qualifications

  • High school diploma or equivalent.
  • Basic proficiency using a Windows-based computer.
  • Ability to navigate folders, open files, and use standard computer applications.
  • Ability to follow written instructions and established processes.
  • Strong attention to detail.
  • Ability to perform repetitive work accurately for extended periods of time.
  • Reliable attendance and punctuality.
  • Willingness to learn additional responsibilities as needed

Preferred Qualifications

  • Previous experience with data entry, file processing, administrative work, or quality control is helpful but not required.
  • Familiarity with Microsoft Office applications is helpful but not required.
  • Interest in learning basic technical support or customer-service-related functions is a plus.

This position is located in Downers Grove, Illinois and will have a hybrid work schedule.  The hybrid work schedule is Monday and Friday remote work and Tuesday, Wednesday and Thursday in office in Downers Grove, IL. 

Hourly rate: $15.00 per hour
