Job description

We are looking for a detail-oriented File Clerk to support document management operations for a services environment in Portsmouth, Virginia. This is a Contract position focused on keeping legal records, binders, and case files organized, accessible, and accurately maintained. The ideal candidate brings hands-on experience with paper and electronic filing, along with a consistent approach to handling high volumes of sensitive documentation.
Responsibilities:
• Organize, sort, and maintain legal documents, case records, and binders to ensure materials are easy to retrieve and properly stored.
• Prepare physical files for archiving, including labeling, boxing, and arranging file boxes according to established recordkeeping practices.
• Scan paper documents accurately and verify image quality so digital records are complete, legible, and ready for use.
• Upload and index electronic files within e-filing systems to support efficient access to case-related information.
• Review incoming documentation for completeness and place materials in the correct physical or digital file locations.
• Assist with retrieving requested files and documents for internal teams in a timely and organized manner.
• Maintain confidentiality while handling sensitive legal and administrative records.
• Support ongoing records management activities by keeping filing areas orderly and identifying documents that require updated classification or storage.• At least 2 years of experience in file management, records administration, or a similar clerical support role.
• Practical experience with paper filing, document scanning, and electronic filing processes.
• Ability to organize large volumes of documents with strong attention to detail and accuracy.
• Familiarity with preparing file boxes, labeling records, and maintaining structured storage systems.
• Comfortable working with legal documents or other sensitive records in a confidential manner.
• Basic computer skills for scanning, indexing, and managing digital files.
• Ability to follow established procedures, manage routine tasks independently, and meet deadlines in a contract assignment.
