Description



The File Intake Coordinator is responsible for managing the initial receipt, organization, and quality review of mortgage loan files in the Bank's Correspondent Lending channel. This role ensures all documents are complete, accurate, and aligned with company standards prior to being submitted to internal underwriting or the third-party due diligence vendor. As the first line of quality control, the File Intake Coordinator helps maintain pipeline efficiency, supports smooth loan movement, and protects data integrity throughout the process. Efficiently monitor and ensure the delivery of high-quality loans from Merchants Correspondent Lenders, contributing to high client satisfaction and repeat business. 


After one year as our File Intake Coordnator, you will know you are successful if you can do the following confidently and independently...

  • Monitor and manage file intake and closing/credit package intake queues to ensure time guarantees are met for setup process. 
  • Serve as the gatekeeper for all loan files entering internal underwriting or the third-party due diligence review process.
  • Identify missing documentation, discrepancies, or red flags; apply appropriate conditions and return files to sellers when necessary.
  • Respond promptly to questions from Internal Client Managers and, when applicable, Correspondent Sellers.
  • Classification of documents as they come in and monitor the classification queue. 
  • Maintain strong attention to detail, using submitted customer documents to compare to data input updating Loan Operation System (LOS) where required. 
  • Maintain current knowledge of product parameters and communicate any material changes or oversights to the manager.
  • Use daily reports and LOS task lists to track loan progress and verify compliance with Service Level Agreement (SLA) turn times.
  • Clear or escalate any inaccuracies related to conditions or system deficiencies.
  • Notify the manager of any issues requiring elevation related to loan packages or closing/credit packages received.
  • Provide operational support for the Merchants' team as needed.


Requirements



What we are looking for...

  • High School education required; college preferred
  • 1-3+ years of experience in mortgage operations, loan processing, pre-underwriting, file intake, or similar role. 
  • Knowledge of correspondent lending processes
  • Familiarity with LOS platforms
  • Strong understanding of mortgage documentation. 
  • Document imaging and file management proficiency 
  • Proficient knowledge of MS Word, Excel, and Outlook. 
  • Must be customer service oriented, able to communicate clearly and concisely both verbally and written. 
  • Strong organizational skills required with the ability to prioritize work to meet deadlines.
  • Being knowledgeable of Agency product guidelines and experience with Jumbo/High Balance loans is a plus. 
  • Proficiency reviewing self-employed borrower documentation.
