Job description

Job Summary

The clinical support specialist responds to patient inquiries, assists with appointment scheduling and confirmation, and assists clinicians with all office needs. This role is responsible for maintaining clinical files and documents while maintaining patient confidentiality at all times.

Duties and Responsibilities

  • Update and maintain patient medical records, including visit details, insurance and contact information.
  • Service patient after visit with appropriate paperwork, schedule follow-up appointment, send out medical records as requested, and answer any patient inquiries.
  • Work closely with clinical team lead to ensure smooth patient flow in the operational areas.
  • Maintain exam rooms to appropriate regulatory standards.
  • Maintain patient confidentiality.
  • Receive incoming phone calls and distribute messages appropriately.
  • Maintain fax machine, assist users, and retrieve and route incoming faxes.
  • Audit new patient charts.
  • Work as a team to replenish exam room and clinical supplies, including office supplies for designated area.
  • Maintain the chart files.
  • Assist providers with scheduling/appointment needs.
  • Perform other duties as assigned by manager.

Requirements and Qualifications

  • Associates degree preferred; HS Diploma or GED required.
  • 1+ years medical office experience preferred.
  • 1+ years customer service experience required.

Physical Demands

  • Manual and finger dexterity and eye-hand coordination to enter data and operate office equipment.
  • Corrected vision and hearing within normal range to observe and communicate with patients, providers, and staff.
  • Frequently remaining in a stationary position, often sitting for prolonged periods working on a computer, telephone, copy/fax machine, and other office equipment.
  • Occasional standing and walking required.
  • Occasional lifting and carrying items weighing up to 10 pounds.

The pay range for this position is determined based on several factors, including the candidateโ€™s years of experience, qualifications, training, licenses, designations, and the overall market conditions.
