Job description

Hall & Evans is seeking an experienced File Assistant to join our administrative support team in our Downtown Denver offices. This position will primarily support our general office needs along with supporting our Legal Assistants and Paralegals with fulfilling requests in providing ongoing maintenance of client files, electronic and hard copy projects, and trial preparation.
Requirements
This position requires the employee to be in the office Monday-Friday, 8 AM - 5 PM.
  • Previous experience working in a law firm, preferred;
  • Knowledge and understanding of legal documents;
  • Strong organizational skills, detail-oriented and accurate;
  • Ability to work independently and as part of a team, self-starter;
  • Strong verbal and written communication skills;
  • Strong reading and comprehension skills;
  • Ability to preserve and maintain confidential information, including, but not limited to, protected health information;
  • Ability to work and adapt in a fast-paced environment while under pressure to meet tight deadlines with accuracy;
  • Monitor workflow to ensure jobs are completed efficiently, accurately and within deadlines;
  • Strong ability to prioritize multiple projects based on deadlines;
  • Ability to multi-task and adjust to changing priorities and understand and follow both written and oral instruction;
  • Competency in the use of basic office equipment, including but not limited to copiers, mail meter, and binding equipment;
  • Strong customer service skills, frequent interaction with internal and external customers including staff, clients, management and vendors where courtesy and tact are required;
  • Compile, copy, scan, sort, bind, and index legal documents by the client, matter, and sub-file categories;
  • File documents according to the individual attorney, paralegal, or legal secretary/assistant instructions;
  • Create or update physical and electronic file indexes;
  • Create labels, file folders, and sub-folders;
  • Receptionist back-up, and:
  • Hospitality duties, including set-up and tear-down of Firm events.

Physical requirements include the ability to:
  • Stand and/or sit for extended periods of time;
  • Bending and lifting up to 50 lbs. and up to 35 lbs. on a regular basis;
  • Go up and down stairs frequently;
  • Climb on step stools and ladders as needed;
  • Physically able to transport large/heavy files and records storage boxes using hand carts and dollies as needed, and;
  • Routinely lift and transport client files and records boxes;
  • Conference Room set-up;
  • New office set up;
  • Kitchen clean-up and stocking, and;
  • Assistance with events.

Required Computer Skills/Knowledge
  • Proficient with Microsoft Word, Outlook, Excel, and Adobe Pro, and;
  • HP Autonomy Worksite-iManage and Office 365 experience is a plus.

Required Education
  • High School Diploma or GED

The hiring range for this position is $42,000 - $48,000 annually.
