Florida’s Heat Pump & A/C Service (FHP AC Service) is looking for a highly organized, customer-focused Fractional Office Dispatcher / Office Coordinator to support our growing HVAC company in South Florida.

This is an ideal position for someone who wants a flexible schedule while still playing a key role in daily operations. We are looking for a dependable team member who can assist with dispatching, customer communication, scheduling, and office support during peak business hours.

Locally owned and family operated since 2008, FHP AC Service provides residential and light commercial HVAC service throughout Broward and Palm Beach County. We pride ourselves on honest service, strong communication, and long-term customer relationships.

Position Type

Typical Hours

Approximately 20–30 hours per week with flexibility depending on workload and seasonality.

Responsibilities

  • Dispatch technicians efficiently throughout the day
  • Answer incoming customer calls professionally
  • Schedule service calls, maintenance visits, and estimates
  • Coordinate technician communication and job updates
  • Assist with maintenance agreement follow-up
  • Update customer information in CRM software
  • Monitor dispatch board and technician progress
  • Handle light collections and invoice follow-up
  • Communicate with customers regarding arrival times and scheduling
  • Assist ownership with office organization and workflow

Preferred Experience

  • Dispatching experience preferred
  • HVAC, plumbing, electrical, or home service industry experience is a major plus
  • Strong phone and customer service skills
