FERRARI OF NEWPORT BEACH is seeking an ambitious DMV CLERK who shares our passion for excellence to be part of our dynamic team!

Job Description:

We are seeking a detail-oriented and organized DMV / Title Clerk to join our team. In this role, you will be responsible for processing vehicle title and registration transactions, ensuring compliance with state and federal regulations, and maintaining accurate dealership records. The ideal candidate has extensive DMV and title processing experience, strong organizational skills, and the ability to manage multiple priorities in a fast-paced dealership environment.

Essential Responsibilities:

  • Review all vehicle deals upon receipt to identify and resolve registration or title issues before processing.
  • Process title and registration paperwork for all new and used vehicle sales.
  • Prepare and submit tax, title, registration, and other required DMV documentation.
  • Electronically submit all legal transfer documents to the Department of Motor Vehicles (DMV).
  • Verify that all required funds have been collected and that lienholder information is accurate on title and registration documents.
  • Prepare Manufacturer's Statements of Origin (MSOs) and Certificates of Origin for dealer trades.
  • Process all wholesale DMV transactions and related documentation.
  • Maintain accurate title logs and reconcile title records.
  • Compile and maintain a comprehensive list of outstanding title work, reporting missing or problem titles to management.
  • Prepare and distribute a weekly outstanding title ("Heat Sheet") report to the Business Manager and Sales Department.
  • Process out-of-state vehicle deliveries, including Forms 447 and 448, Bills of Lading, contracts, and CDTFA documentation.
  • Coordinate with third-party vendors, including VRT and Interstate, to process out-of-state title and registration transactions.
  • Maintain a system for tracking and verifying out-of-state titles.
  • Perform VIN verifications on used vehicles with out-of-state titles.
  • Post DMV Desk invoices accurately and timely.
  • Issue DMV refund checks, reconcile assigned schedules, research and process ASF fees, and maintain dealership title records.
  • Monitor dealership inventory for missing smog certifications and notify Sales and Used Vehicle Managers of vehicles requiring compliance.
  • Manage dealership flooring activities, including timely payoff of floor-planned vehicles, posting monthly CIT curtailments, and assisting with flooring audits.
  • Monitor and maintain all dealership DMV licenses, permits, and registrations to ensure continuous compliance.
  • Stay current on DMV laws, regulations, and title processing requirements by attending applicable training and seminars.
  • Notarize vehicle registration and ownership documents as required.
  • Cross-train team members on daily DMV and title processing responsibilities to ensure uninterrupted departmental coverage.
  • Maintain accurate filing systems and documentation for all title and registration records.
  • Communicate effectively with customers, lenders, government agencies, vendors, and internal departments regarding title and registration matters.
  • Perform additional duties and special projects as assigned by management.

Skills/Education required to perform the role:

  • High school diploma or GED required.
  • Extensive experience with DMV title and registration processing in an automotive dealership.
  • Strong knowledge of DMV regulations, vehicle registration requirements, and title compliance.
  • Experience preparing and submitting DMV documentation accurately and within required deadlines.
  • Proficiency with DMV Desk, Tekion, and other dealership management systems.
  • Experience maintaining title records, reconciliation, and filing systems.
  • Experience working with sensitive customer and financial information while maintaining confidentiality.
  • Strong understanding of state vehicle sales, title transfer, and registration compliance.
  • Proficiency with Microsoft Office applications, including Excel, Word, and Outlook
